Key Responsibilities
- Manage the President & CEO's calendar, including internal and external meetings, programs, speaking engagements, and travel.
- Cook up domestic and international travel, itineraries, and logistics.
- Prepare meeting agendas and briefing materials.
- Process monthly expense reports and maintain organized executive records.
- Manage executive correspondence and prioritize time-sensitive requests requiring the President's attention.
- Maintain and update executive contacts in Outlook and Salesforce/Fonteva.
Board Governance & Executive Relations
- Cook up quarterly Board of Directors and Council of the Americas Advisory Board (CIAC) meetings from planning through follow-up.
- Manage logistics for board and committee meetings, including invitations, RSVPs, virtual meeting platforms.
- Maintain board member records, AS Board and CIAC contributions and its tracking, and governance documentation.
Chief of Staff & Strategic Operations
- Provide project management and administrative support to the Chief of Staff on cross-functional organizational priorities.
- Track institutional initiatives, action items, and executive follow-up across departments.
- Cook up internal meetings, town halls, senior staff retreats, and President's Office initiatives.
- Cook up with program teams to prepare remarks and briefing materials for conferences, public programs, and meetings.
Qualifications
- Bachelor's degree required.
- 1–3 years of professional experience, including internships or fellowships.
- Demonstrated interest in Latin America, public policy, international affairs, or nonprofit organizations.
- Outstanding written and verbal communication skills.
- Exceptional organizational skills and meticulous attention to detail.
- Ability to manage multiple priorities and adapt quickly in a fast-paced environment.
- Professionalism, discretion, and ability to handle confidential information.
- Strong interpersonal skills and confidence interacting with senior leaders and external stakeholders.
- Proficiency in Microsoft Office Suite; familiarity with Salesforce/Fonteva or other CRM systems is a plus.
- Experience with Zoom, Microsoft Teams.
- Spanish proficiency required; Portuguese is a plus.
