This role is subject to a flexible hybrid work arrangement requiring a minimum of 2 pre-determined days per week in our mid-town office. Summary The Cardiovascular Research Foundation is seeking a highly organized and proactive Associate Manager, Digital Strategy & Operations to support the seamless execution of digital projects and strengthen the operating infrastructure of CRF Digital. This role is designed as a dual-focus position: approximately 60% strategy & operations and 40% project management. Reporting to the Director, Digital Strategy & Experience, the Associate Manager serves as a central facilitator for the division, helping connect stakeholders, manage timelines, improve communication flow, support operational planning, and ensure that digital workstreams move forward with clarity, accountability, and consistency. The role supports digital initiatives including website projects, site launches, online tools, mobile applications, event-related digital platforms, internal systems, and related workflows. Success requires strong project discipline, excellent communication, attention to detail, sound judgment, and a service-oriented approach to helping teams collaborate effectively. Essential Duties And Responsibilities Strategy & Operations – Approximately 60% Serve as an operational facilitator for CRF Digital, helping the division stay organized, aligned, and connected across priorities, meetings, systems, events, and cross-functional workstreams. Assist the Director with operational planning, recurring priorities, division-wide coordination, follow-up tracking, and preparation of materials for leadership discussions, vendor meetings, and internal planning sessions. Support budget coordination by helping track project expenses, vendor estimates, purchase orders, invoices, forecasts, approvals, and budget documentation in partnership with the Director and Finance/Operations as appropriate. Assist with travel and event logistics for CRF Digital needs, including travel planning support, itineraries, registration details, hotel/transportation coordination, expense documentation, and related internal approvals. Provide scheduling assistance for division priorities, including coordination of calendars, project meetings, vendor calls, internal working sessions, agendas, pre-read materials, reminders, and post-meeting follow-up. Proactively identify opportunities to improve communication, information-sharing, collaboration systems, meeting cadences, documentation practices, and team workflows across CRF Digital. Create, maintain, and improve standard operating procedures, process maps, templates, onboarding guides, project intake forms, knowledge resources, and internal documentation that support consistent team operations. Help manage communication channels and collaboration spaces, including Teams, SharePoint, Monday.com, shared folders, and other systems used to coordinate Digital division work. Support division reporting by compiling project updates, operational metrics, status summaries, budget-related notes, and action-item dashboards for review by the Director. Anticipate needs, flag gaps, recommend improvements, and help establish smoother ways of working across departments, vendors, and stakeholders. Project Management – Approximately 40% Manage digital project workflows from intake through launch, including websites, online tools, mobile applications, event-related digital products, and other CRF Digital initiatives. Develop, maintain, and communicate project plans, timelines, milestones, dependencies, deliverables, and launch-readiness checklists. Maintain and improve Monday.com workspaces, boards, dashboards, templates, automations, and milestone calendars to provide clear structure, task visibility, and accountability across active projects. Lead or facilitate weekly project review meetings, including agenda preparation, meeting notes, action-item tracking, follow-up communication, and escalation of risks or blockers. Coordinate with internal stakeholders, Marketing, Editorial, Business Development, Creative Services, Web Development, external vendors, and agency partners to gather requirements and align deliverables with business objectives. Track project progress, monitor risks, manage change requests, document decisions, and adjust project phases or sequencing to help teams stay on schedule. Coordinate QA, stakeholder feedback, approvals, accessibility review coordination, deployment readiness, and post-production support before and after launches. Prepare concise status updates, project summaries, and decision-support materials for the Director and relevant leadership stakeholders. Maintain project documentation, requirement specifications, stakeholder notes, approvals, file organization, and operational records in appropriate shared systems. Additional duties as assigned. Qualifications Bachelor’s degree or equivalent combination of education and relevant work experience. 4+ years of experience in project management, project coordination, digital operations, business operations, marketing operations, or a related role; nonprofit, healthcare, medical education, publishing, events, or digital product experience is a plus. Demonstrated ability to manage multiple workstreams, timelines, stakeholders, and shifting priorities with a strong sense of ownership and follow-through. Strong understanding of project management principles, including schedule management, milestone tracking, risk management, documentation, stakeholder communication, and change management. Familiarity with project management methodologies and ways of working, including Agile, Scrum, Waterfall, and hybrid approaches. Experience using Monday.com or similar work management platforms; ability to build, maintain, and improve boards, workflows, dashboards, and templates preferred. Experience supporting digital products, websites, content management systems, online tools, mobile apps, or database-driven platforms preferred. Strong operational judgment and the ability to improve systems, processes, documentation, and communication flow across a team or division. Comfort supporting budget, invoice, purchase order, travel, scheduling, and administrative coordination with accuracy and discretion. Excellent written and verbal communication skills, including the ability to prepare clear emails, meeting notes, status updates, summaries, reports, and stakeholder-facing materials. Ability to interact effectively with team members, management, vendors, agency partners, executives, faculty, and industry professionals. Strong attention to detail, organization, problem-solving, prioritization, and ability to work independently while keeping leadership informed. Proficiency with Microsoft 365 tools, including Outlook, Teams, SharePoint, Word, Excel, and PowerPoint; comfort working across Mac and PC platforms. Ability to read and interpret vendor contracts, CRF policies, project documentation, memos, and operational requirements. The annual salary that will ultimately be offered to the successful candidate will depend on job-related knowledge, education, skills, and experience.
