About the role

Our organization is seeking a proactive and organized Associate Events Program Manager to support scientific and technical events. This role will handle administrative tasks related to event coordination, including planning, execution, and post-event activities in a dynamic environment.

Responsibilities

  • Manage paper and content submission workflows using internal tools, including coordinating reviews and responding to inquiries.
  • Serve as the first point of contact for event-related communications, providing timely responses and support before escalating as needed.
  • Perform extensive follow-ups via email to ensure tasks remain on schedule.
  • Track deliverables and project milestones to ensure deadlines are met.
  • Draft and manage professional communications for various audiences, including executive leadership.
  • Maintain event documentation and process tracking.
  • Provide onsite support for events at corporate locations in the Seattle and Bellevue area.

Requirements

  • 2+ years of experience in program coordination, event planning, project management, or operations.
  • Strong organizational skills with the ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
  • Experience working with stakeholders across multiple teams.
  • Proficiency with Microsoft Office Suite (Outlook, Excel, PowerPoint).
  • Must be proactive, responsive, and able to connect the dots.

Preferred Qualifications

  • Experience supporting conferences, scientific events, or academic programs.
  • Background in scientific research, technical content management, or authoring scientific papers.
  • Experience coordinating communications for senior leadership or executive stakeholders.
