About the role
Our organization is seeking a proactive and organized Associate Events Program Manager to support scientific and technical events. This role will handle administrative tasks related to event coordination, including planning, execution, and post-event activities in a dynamic environment.
Responsibilities
- Manage paper and content submission workflows using internal tools, including coordinating reviews and responding to inquiries.
- Serve as the first point of contact for event-related communications, providing timely responses and support before escalating as needed.
- Perform extensive follow-ups via email to ensure tasks remain on schedule.
- Track deliverables and project milestones to ensure deadlines are met.
- Draft and manage professional communications for various audiences, including executive leadership.
- Maintain event documentation and process tracking.
- Provide onsite support for events at corporate locations in the Seattle and Bellevue area.
Requirements
- 2+ years of experience in program coordination, event planning, project management, or operations.
- Strong organizational skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Experience working with stakeholders across multiple teams.
- Proficiency with Microsoft Office Suite (Outlook, Excel, PowerPoint).
- Must be proactive, responsive, and able to connect the dots.
Preferred Qualifications
- Experience supporting conferences, scientific events, or academic programs.
- Background in scientific research, technical content management, or authoring scientific papers.
- Experience coordinating communications for senior leadership or executive stakeholders.
