Associate Director, Management and Operations

Working under the direction of the Director, Management, the Associate Director, Management & Operations will provide cross-cutting program management support for a large, multi-country global project. This includes setting up systems, managing trackers, liaising with contracts management services, global procurement, and other enterprise services staff. The role also involves program management support for select core-funded activities and oversight of sub-awards and deliverables.

Responsibilities

  • Provide leadership and management support for a large, complex project, ensuring strategically coherent direction, well-managed growth, and compliance with donor regulations.
  • Set up systems and manage trackers for smooth project operations.
  • Liaise with contracts management services staff on submission, review, and prioritization of subawards, updating tools/templates, and relaying feedback to program team members.
  • Review and track workplans and no-cost extensions submitted to donors.
  • Provide program management support to select core-funded activities.
  • Manage monthly meetings and oversee core partner sub-awards and deliverables.
  • Coordinate with the Project Management Team (PMT) and other project management/operations team members on management, compliance, and performance standards, as well as budget, knowledge, and risk management systems.
  • Work closely with the Director, Management, Project Director, and Department-level Operations leadership to mitigate risks and ensure programming staff understand financial and administrative processes.
  • Serve as a focal point for operations-related troubleshooting to limit implementation bottlenecks and escalate as appropriate.
  • Forge and maintain solid cooperation with select partners through regular communication, cooperation, and joint decision-making.
  • Supervise select management and operations staff.
  • Perform other duties as assigned.

Requirements

  • Bachelor’s Degree or its international equivalent in Business Administration, Public Health, Social Sciences, or a related field. Project Management (PM) Certification preferred.
  • Typically requires 10+ years of relevant experience (including 3+ years of line management experience) in business administration, project management transformation, change management, strategy consulting, or internal corporate strategy.
  • Demonstrated experience in USG and global health project management and implementation.
  • Experience working on large, multi-country global projects.
  • Experience working in a non-governmental organization (NGO).
  • English fluency required; fluency in a second language (e.g., French, Spanish, Portuguese, Russian) is an added benefit.

Skills

  • Effective knowledge of design, implementation, and management of sector-specific and/or multi-sector/international development projects funded by US government or other international donors.
  • Knowledge of various funding mechanisms, general contracting, and reporting requirements.
  • Knowledge of donor planning and reporting systems.
  • Knowledge of business development processes, specifically proposal development, within an international NGO context.
  • Strong written and verbal communication skills.
  • Sensitivity to cultural differences and understanding of political and ethical issues in countries outside the US.

Work Environment

  • Typical home office environment.
  • Ability to spend long hours looking at a computer screen and doing repetitive work on a keyboard.
  • Ability to sit and stand for extended periods of time.

Travel Requirements

Less than 10% travel required.

Pay

US-based hiring salary range: USD 110,000 - 130,000 annually. International hiring ranges will differ based on location.
