Associate Director, Division Administrator
About the Role
The Division Administrator in the Department of Pediatrics at the University of Utah Spencer F. Eccles School of Medicine directs, manages, and supervises day-to-day operations for assigned clinical division(s). This role provides strategic support and leadership in collaboration with the Division Chief and Department Administration to advance the mission and goals of the division. Responsibilities include overseeing clinical operations, human resource and financial management, outpatient and inpatient services, scheduling, materials management, program support, and quality assurance.

Responsibilities
- Directs, manages, and supervises day-to-day operations for the division’s clinical and academic missions, ensuring quality patient care outcomes.
- Builds cultural and support systems within the division to deliver outstanding service to internal and external customers.
- Monitors service and performance effectiveness, implementing improvement initiatives as needed.
- Ensures compliance with federal, state, and other regulatory requirements.
- Manages division staff, including administrative, clinical, and research personnel, overseeing recruitment, onboarding, training, and performance evaluations.
- Develops and administers the division’s annual budget, monitoring financial performance and preparing variance analysis reports.
- Oversees reconciliation of division operating accounts and approves purchase requests, travel reimbursements, and invoices.
- Conducts financial and quantitative analysis to identify budget concerns and implement cost-reduction strategies.
- Fosters an environment of teamwork, collaboration, and respect, resolving conflicts and maintaining high employee morale.
- Participates in strategic planning, quality improvement efforts, and business development initiatives.
- Works collaboratively with Primary Children’s Hospital (PCH) administration to ensure operational efficiency.
- Manages contract renewals and negotiations in collaboration with the Division Chief and Department Administration.
- Evaluates and revises workflows and business processes to maximize efficiency and effectiveness.
- Develops and implements division policies and procedures consistent with department and university standards.
- Partners with internal and external stakeholders to promote services and programs, assisting faculty with administrative procedures.
- Oversees administrative and financial aspects of division research activities in collaboration with the research team.
- Integrates healthcare trends and pediatric subspecialty insights to forecast future division and department needs.
Requirements
- Bachelor’s degree (or equivalency) plus 10 years of directly related work experience, or a master’s degree (or equivalency) plus 8 years of directly related work experience.
- Strong understanding of clinical and academic operations to make sound decisions regarding complex issues.
- Analytical ability to evaluate data and make recommendations on operations and budgets.
- Collaborative, creative, and proactive approach to managing clinical, academic, and educational missions.
Preferences
- Master’s degree in a related field.
- Three or more years of experience managing complex, multifaceted clinical operations.
- Three or more years of experience with budget and finance/accounting methods, including strategic planning and forecasting.
- Working experience with research accounting methods.
- Three or more years of experience with clinical revenue processes.
- Three or more years of personnel management experience.
- Working knowledge of medical education policies and processes, including Graduate Medical Education (GME) and Continuing Medical Education (CME).
- Advanced to proficient skill level with demonstrated capability to perform job duties effectively and with minimal oversight.
Employee Health Requirements
This position is patient-sensitive and requires fulfillment of all associated vaccination requirements, or approval for an exemption, prior to the first day of work. Immunizations are mandated according to CDC standards and hospital policy, with limited exemptions for documented medical contraindications or religious beliefs.

Pay
Expected pay range: $112,000 – $143,299, commensurate with experience and qualifications.
