About the Role

Supports and assists the Community Director in overseeing and managing the financial and operational facets of the community. Responsibilities include completing accounting and bookkeeping tasks, preparing monthly close-out and financial reports, processing invoices for payment, collecting rent and fees, completing bank deposits and reconciliations, and using the property management system to record, track, and report on all financial workings of the property.

Responsibilities

  • Completes daily financial transactions, including collecting and posting rent, fees, and other payments, preparing bank deposits, and generating financial reports.
  • Processes all transactions in the property management system and reconciles discrepancies with the accounting department.
  • Reviews and submits vendor invoices for payment, ensuring proper approval, coding, and communication between vendors, accounting, and owners.
  • Enters approved bills into the property accounting system, scans invoices, and submits them for processing.
  • Reviews resident files to identify unpaid or late fees, communicates with residents about outstanding balances, and enforces lease terms to maximize revenue.
  • Follows company procedures for evictions, including proper notice requirements, court representation, and eviction proceedings.
  • Processes resident move-outs, applying lease terms, fees, and dispositions in accordance with legal requirements.
  • Promotes resident satisfaction and retention by addressing complaints, questions, and service issues in a timely manner.
  • Acts as on-site supervisor in the absence of the Community Manager, delegating tasks, coordinating maintenance, and ensuring compliance with company policies.
  • Assists in managing client/owner relationships through meetings, property tours, performance updates, and responding to requests.
  • May support leasing and marketing efforts by greeting prospects, conducting tours, closing leases, and assisting with applications and credit verification.
  • Completes various accounting, financial, administrative, and other reports as assigned.

Schedule

This position is scheduled for 40 hours per week. Typical site hours are 9:00 AM to 6:00 PM Monday through Friday, 10:00 AM to 5:00 PM on Saturday, and 1:00 PM to 5:00 PM on Sunday. Assistant Community Directors must be available to work weekends when scheduled, typically the first weekend of the month.

Requirements

  • High school diploma or GED equivalent.
  • 2 years of experience in the multifamily industry, with a background in property management, sales, marketing, and customer service.
  • Demonstrated ability to read, write, and communicate effectively for legal documents, sales, and resident interactions.
  • Mathematical skills to perform calculations for financial records, budgets, and fiscal reporting.
  • Understanding of property operations, lease terms, and lease enforcement, including collections.
  • Proficiency in internet, word processing, spreadsheet, and database management programs.
  • Strong proficiency in property management software (preferably Yardi and/or One Site).
  • Current valid driver’s license.

Physical Demands

  • Regularly required to use hands for typing, handle objects, talk, and hear.
  • Frequently required to stand, walk, reach, climb, stoop, and squat.
  • Intermittently required to sit.
  • Must be able to access all areas of the property, including exterior and interior parts, and navigate stairs and extended distances daily.
  • Ability to operate golf carts where applicable.
  • Must be able to push, pull, lift, or carry up to 20 pounds independently and 50 pounds with assistance.
  • Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
  • Routine local travel may be required for bank deposits, training, or other responsibilities.
