About the Role
Supports and assists the Community Director in overseeing and managing the financial and operational facets of the community. Responsibilities include accounting and bookkeeping tasks, preparing monthly close-out and financial reports, processing invoices, collecting rent and fees, completing bank deposits and reconciliations, and using the property management system to record, track, and report financial activities.

Responsibilities
- Complete daily financial transactions, including collecting and posting rent, fees, and other payments, preparing bank deposits, and generating financial reports.
- Record all transactions in the property management system and reconcile discrepancies with the accounting department.
- Review and submit vendor, contractor, and service provider invoices for payment, ensuring proper approvals and coding to the appropriate Chart of Account codes.
- Enter approved bills into the property accounting system, scan invoices to the community’s data drive, and submit them to accounting for processing.
- Review resident files and accounting records to identify unpaid or late fees, communicate with residents about outstanding balances, and enforce lease terms to maximize revenue.
- Follow company procedures for evictions, including proper notice requirements, representing the property in court hearings, and eviction proceedings.
- Process resident move-outs by reviewing lease terms, applying deposit and lease cancellation fees, and ensuring compliance with legal requirements.
- Promote resident satisfaction and retention by addressing complaints, questions, and requests in a timely manner.
- Act as the on-site supervisor in the absence of the Community Manager, delegating tasks, coordinating maintenance, and ensuring compliance with company policies.
- Assist in managing client/owner relationships by conducting property tours, providing performance updates, and responding to owner requests.
- Support leasing and marketing efforts to achieve revenue and occupancy goals, including greeting prospects, showing apartments, and assisting with lease applications.
- Complete various accounting, financial, administrative, and other reports as assigned.
Schedule
This position is scheduled for 40 hours per week. Typical site hours are 9:00 AM to 6:00 PM Monday through Friday, 10:00 AM to 5:00 PM on Saturday, and 1:00 PM to 5:00 PM on Sunday. Assistant Community Directors must be available to work weekends when scheduled, typically the first weekend of the month.
Requirements
- High school diploma or GED equivalent.
- 2 years of experience in the multifamily industry, with a background in property management, sales, marketing, and customer service.
- Demonstrated ability to read, write, and communicate effectively for legal documents, sales, and resident interactions.
- Mathematical skills to perform calculations for financial records, budgets, and fiscal reporting.
- Understanding of property operations, lease terms, and lease enforcement, including collections.
- Proficiency in internet, word processing, spreadsheet, and database management programs.
- Strong proficiency in property management software (preferably Yardi and/or One Site).
- Current valid driver’s license.
Physical Demands
- Regularly required to use hands for typing, handle objects, talk, and hear.
- Frequently required to stand, walk, reach, climb, stoop, and squat.
- Intermittently required to sit.
- Must be able to access all areas of the property, including exterior and interior parts, and navigate stairs.
- Ability to operate golf carts, walk extended distances, and lift or maneuver weights of up to 20 pounds independently and 50 pounds with assistance.
- Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
- Routine local travel may be required for bank deposits, training, or other responsibilities.
