About the role
Record and process the legal and real estate documents of Tarrant County, ensuring completeness and accuracy of records and balancing monies and fees for these services.
Responsibilities
- Examine legal documents (over 300 different types) received via mail, customers, courier delivery and the internet to ensure conformity with legislative recording standards; verify originality, legal acknowledgment and compliance per document type
- Count and post page counts on each document for imaging quality control in the recording software system
- Code, categorize and calculate recordation fees for each document; verify fees in the recording software system
- Attach computer-generated trailer pages and bar code pages to each document and to customers’ recorder receipts and copies; verify return address and page counts
- Prepare certified copies when needed after documents are recorded
- Collect and place fees in a secure cash drawer
- Scan prepared documents and verify, review, accept or reject resulting scanned images; ensure images and page counts are accurate
- Review electronic recordings; record reasons for rejections and return reports to the eRecording provider, including any necessary correspondence
- Verify signors and account balances for companies using escrow system as payment for recording
- Operate credit card machine and enter customer information via the credit card secure website
- Prepare associated documentation for balancing purposes, including bank deposits and balancing reports; verify all forms of payment (escrow, credit card, voucher) and include records in reports for Accounting and OPR Departments
- Authorize and maintain legal ease payments and documentation via secure internet site
- Assist with scanning of checks for direct deposit of payments using bank scanner and internet site when needed
- Assist the general public, title company personnel, other government agencies and attorneys with procedural and recording questions
- Provide title companies with accounting reports as requested
- Ensure documents are recorded per deadline according to statute
- Record plats; examine for tax certificates, surveyors seals and governing agency approval; prepare plats with stamps and documentation for scanning into the recording software system
- Keep working folder up to date with new statutes and recording requirements for legal instruments
- Perform all other related duties as assigned
Minimum Requirements
- High School diploma or equivalent
- Minimum of three (3) years related office experience
- Good communication skills, both verbal and written
- Appropriate office demeanor and ability to multi-task in a high-stress environment
- Familiarity with use of a desktop computer and proficiency in data entry, keyboarding, and navigating computer applications
- Bondable
- Bilingual (Spanish) skills and cash handling experience are preferred
