About the role
The role of Associate, Administrative Assistant supports the Vice President, Market Research & Insights team at Alcon. Alcon is a global leader in eye care, dedicated to improving sight and lives through innovative products and solutions.
Responsibilities
- Collaborate with internal stakeholders and cross-functional teams to ensure smooth day-to-day operations, clear communication, and alignment on administrative, operational, and budget-related activities.
- Act as a representative of the Vice President and a primary point of contact for the team, building strong relationships and facilitating communication, managing priorities, and ensuring timely follow-ups with senior stakeholders.
- Develop and support effective working relationships with executive level and cross-functional partners to support alignment and responsiveness.
- Manage complex calendars, schedule meetings, and coordinate domestic and international travel arrangements.
- Support departmental budgeting activities, including creating and tracking purchase orders, processing invoices, and records within financial systems.
- Edit, proofread, format, and produce high-quality documents, reports, and presentations to support executive communication and decision-making.
- Maintain organized electronic and physical filing systems to ensure documentation is accurate, compliant, and easily accessible.
- Handle confidential business and personnel information with professionalism, discretion, and adherence to GxP regulations and Standard Operating Procedures (SOPs).
- Support executive-level deliverables by organizing materials for meetings, presentations, conferences, and reports, while coordinating interactions across the Vice President, Senior Directors, and broader organization.
Requirements
- Bachelor’s Degree or equivalent years of directly related experience (or high school +8 yrs; Assoc.+4 yrs)
- The ability to fluently read, write, understand and communicate in English
- PREFERRED: Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Document editing, formatting, data entry, and electronic filing systems
- Calendar management, meeting coordination, and travel scheduling
- High attention to detail and strong organizational skills
- Professional discretion with confidential information
- Able to follow established procedures and comply with regulated environments
- Strong communication skills and a collaborative, proactive mindset
