Assoc Dir, Prac Ops, FMC
Status: Full-Time | Monday - Friday | 8:00 AM - 5:00 PM
Location: Primary 2150 Via Bella Blvd, Land O’ Lakes, FL (additional travel to multiple clinical office locations throughout Hillsborough and Pasco counties)
About the Role
Responsible for the operations of multiple departments at numerous clinical office locations. Oversees operations by ensuring quality of care, patient-first focus, and adequate patient access in daily outpatient operations through fiscal responsibility, resource allocation, labor management, continual process improvement, quality assurance, and collaboration with physicians, Director of Practice Operations, Senior Director of Practice Operations, and other departments in support of the mission and goals of Florida Medical Clinic Orlando Health.

Responsibilities
Operations Management
- Direct accountability for creation and performance of an annual budget up to $35 million, managing 3–15 office locations, and a staff of up to 100 full-time equivalents (FTEs).
- Develop short and long-term strategic goals centered on patient care, process efficiency, quality assurance, and regulatory compliance in partnership with physician and administrative leadership.
- Collaborate with other leadership on inter/intra-departmental services and projects.
- Meet established productivity targets through resource adjustment and workload monitoring.
- Oversee patient care flow while redirecting and allocating necessary resources.
- Determine necessary space, equipment, supplies, and support systems to ensure effectiveness of departments and clinical office sites.
- Investigate patient/visitor concerns and implement appropriate courses of action, including interpretation and administration of policies.
- Ensure safety, health, and regulatory standards are attained within departments.
- Implement new work routines or changes to improve efficiency, effectiveness, and quality.
- Address software, hardware, and phone issues.
- Encourage the use of new IT solutions (e.g., Dragon, AI Freed) to manage processes more efficiently and cost-effectively.
- Actively participate in performance improvement initiatives as directed by administration and/or physician leadership.

Leadership/Communications
- Provide support to team members to accomplish assigned duties and responsibilities.
- Develop an effective team by motivating staff through building on individual strengths and fostering a desire to excel.

- Ensure staff and resources are available to meet departmental needs.
- Communicate pertinent information in a timely manner to administration and/or team members.
- Attend and prepare agendas for regularly scheduled meetings, including staff meetings, biweekly operations meetings, Service Line Division meetings, sub-committees, and value-based performance meetings.
- Provide flow of information between providers, management, and staff.
- Handle and resolve escalated patient complaints.
- Manage correspondence with hospitals, nursing homes, surgery centers, and answering services.
Labor Management
- Complete annual self-evaluations for supervisors and managers, and assist supervisors in completing staff evaluations.
- Coach, direct, and counsel supervisors and staff.
- Review and investigate information related to issues or concerns prior to employee reprimand or staffing changes in collaboration with the Human Resources Team.
- Maintain and monitor payroll for supervisors and staff.
- Coordinate staffing needs and schedules for all assigned departments, including PTO requests and staffing shortages.
- Interview candidates for open positions and extend offers as approved by Administration, including supervisory openings.
- Complete new hire and termination processes.
Finance
- Monitor budgetary performance within scope and address negative variances.
- Collaborate with Directors to develop, implement, and monitor practice budgets, including analyzing financial reports.
- Monitor provider(s) monthly receipts and/or wRVU reports to align with financial goals of individual physicians and overall departments.
- Approve invoices for payment and manage direct expenses for assigned departments.
Facilities Management
- Address facility issues and create work tickets for Maintenance.
- Ensure assigned offices are clean and well-maintained.
- Ensure assigned offices are safe by identifying and eliminating safety hazards.
- Report incidents, accidents, or injuries to administration by completing and submitting proper forms.
Provider and Practice Support
- Set up new provider offices, new locations, and oversee mergers of practices.
- Provide on-site support for EHR "go lives" and continuing support.
- Schedule new providers with marketing for photos and snapshot information.
- Arrange time and place for division meetings with Administration.
Other Related Functions
- Represent the organization to the external market through community relations and marketing activities.
- Lead and support key committees to achieve service line initiatives or represent the service line in overall operations.
- Participate in the planning and design of information systems and standard reports related to the service line.
- Recommend and oversee the implementation of administrative policies and operating procedures.
- Ensure adherence to local, state, and federal governmental regulations.
- Complete all organizational mandatory education.
- Maintain reasonably regular, punctual attendance consistent with Orlando Health policies, ADA, FMLA, and other federal, state, and local standards.
- Maintain compliance with all Orlando Health policies and procedures.
- Perform all other duties as assigned.
Requirements
- Bachelor’s degree in healthcare, business, or a related field; or four (4) years of directly related work experience may substitute for the bachelor’s degree (in addition to the experience requirements listed below).
- Two (2) years of healthcare experience, including one year in a lead or supervisory role; or a Master’s Degree in a healthcare, business, or related field and successful completion of the FMCOH Residency Program.
- Effective working knowledge of healthcare financial management, operations, and strategy.
