About the role
The Lewis Group of Companies is a real estate firm with 70 years of experience. This executive leadership role serves as the second-in-command for our Commercial Property Management division, overseeing a diverse portfolio of retail centers, office parks, and mixed-use properties in Southern and Northern California.
Responsibilities
- Serve as the Vice President's principal operational partner and provide leadership continuity across the department.
- Act on behalf of the VP during periods of absence while ensuring strategic matters are appropriately escalated.
- Lead, mentor, and develop a team of approximately three to five Property Managers and support staff.
- Establish performance expectations, accountability measures, and operational standards across the portfolio.
- Conduct property reviews and operational audits to ensure consistent execution of company policies and best practices.
- Serve as the primary escalation point for operational, tenant, vendor, and property-related issues.
- Lead Portfolio Operations
- Oversee the day-to-day operational execution of the commercial portfolio in alignment with the Vice President's strategic direction.
- Help ensure exceptional tenant service, property appearance, maintenance standards, and operational performance.
- Oversee preventative maintenance programs, property inspections, life-safety compliance, and risk management initiatives.
- Review vendor contracts, maintenance programs, and service proposals within delegated authority.
- Cook up with Construction, Development, Leasing, Accounting, Legal, and Marketing teams to support portfolio objectives.
- Oversee operational aspects of tenant move-ins, renewals, relocations, and tenant improvement projects.
- Build Tenant & Vendor Partnerships
- Foster long-term relationships with tenants, contractors, vendors, and business partners.
- Support Property Managers in resolving complex tenant concerns and strengthening tenant retention.
- Participate in tenant meetings and major negotiations alongside the Vice President as needed.
- Support Financial Performance
- Aid in operating budgets, capital plans, financial forecasting, and ownership reporting.
- Review operating results, forecasts, and variances with Property Managers and recommend operational improvements.
- Monitor operating expenses, recoveries, contract performance, and other key property metrics.
- Support executive reporting, business planning, and budget presentations.
- Drive Continuous Improvement
- Champion operational excellence through consistent implementation of company policies, procedures, and service standards.
- Identify opportunities to improve efficiency, tenant satisfaction, and property performance.
- Lead special projects, process improvements, and technology initiatives.
- Promote a culture centered on accountability, collaboration, innovation, and exceptional customer service.
- Ensure compliance with applicable laws, lease requirements, company policies, and workplace safety standards.
Requirements
- Bachelor's degree in Business Administration, Real Estate, Property Management, Finance, or a related field preferred.
- 7–10+ years of progressively responsible commercial property management experience with 5–7+ years of leadership experience managing Property Managers or multi-property teams.
- Demonstrated success leading multi-property operations through subordinate managers.
- Strong knowledge of lease administration, CAM reconciliations, budgeting, financial reporting, tenant relations, and commercial property operations.
- Experience with MRI or similar property management software preferred.
- California Real Estate License preferred.
- Strong proficiency with Microsoft Office, including Outlook, Excel, Word, and PowerPoint.
