This position serves as an executive partner to the Vice President of Marketing and Communications and performs high-level administrative and project coordination tasks for a comprehensive, high-volume Marketing and Communications Division. The role requires a high degree of confidentiality and discretion in handling sensitive conversations, documents, and projects involving executive leadership, trustees, prospective donors, high-profile partners, or matters affecting the College’s brand and reputation.
Responsibilities
- Manages confidential information related to institutional strategy, personnel, budgets, contracts, and external relations on behalf of the VPMC.
- Actively manages the calendar and serves as a gatekeeper to ensure strategic focus for the VPMC.
- Initiates, composes, reviews, and edits correspondence, presentations, proposals, and announcements for the Vice President for Marketing and Communications.
- Develops and maintains divisional databases, spreadsheets, project trackers, status reports, and other information-management tools to support executive priorities, monitor progress, and ensure timely follow-through.
- Supports the Vice President for Marketing and Communications in planning, coordinating, and advancing strategic projects and initiatives, including tracking progress, coordinating stakeholders, and ensuring timely follow-through.
- Supports divisional financial administration by maintaining budget records, monitoring designated budget lines, processing expense reports, and assisting with accounts payable and receivable.
- Provides administrative and coordination support for divisional digital marketing operations, including website compliance and quality assurance, calendar entries, online marketing profiles, implementing intranet pages, and documentation and follow-up for web strategy meetings.
- Provides administrative support for divisional revenue-generating activities, including scheduling, room reservations, facility tours, client documentation, event agreements, insurance, billing, and client tracking.
- Occasionally supports the Campus Store in the absence of the Campus Store manager and/or during special events.
- Assists with other projects and performs other duties as assigned by the Vice President of Marketing and Communications.
Requirements
- Must be comfortable with Microsoft Office, including Microsoft Word, Excel, and PowerPoint.
- Must have strong interpersonal, customer service, written communication, and proofreading skills.
- Budget administration experience preferred.
Key Interfaces
- Works with staff from every campus division, including Executive Leadership Team offices, directors, administrative assistants, faculty, and committee representatives.
- Interfaces with Board of Trustee members, external consultants, vendors, and members of the news media.
Qualifications
- High school diploma and a minimum of five years of experience in a similar position. Experience in an educational setting is preferred.
- OR Bachelor’s degree and at least three years of experience. Some specialized training or experience may be required.
Working Conditions & Physical Demands
General office setting with a moderate noise level.
