About the role

The role involves managing accounts receivable, ensuring timely and accurate financial transactions, and providing customer service to residents. It also includes managing the eviction process and assisting with leasing activities.

Responsibilities

  • Accept and accurately post rent and other payments in Yardi.
  • Ensure residents are correctly set up to use online, electronic, and WIPS payment systems.
  • Closely follow IPM policy to address late rent payments, including distributing late notices and making personal calls and visits to delinquent residents.
  • Make bank deposits daily and inform residents of NSF checks within 24 hours.
  • File evictions and dispossessory warrants in compliance with local statutes and company policy.
  • Manage the eviction process, including attending court dates and walking units within 24 hours of confirmed move out.
  • Turn over bad debts for collection and process SURE deposits within 72 hours of move out.
  • Prepare monthly collection reports and monitor for maximum collections.
  • Post and follow-up on NSF checks within 48 hours of notice.
  • Process invoices for payment after approval and manage the vendor process to ensure all vendors are using vendor café and approved via vendor shield.
  • Weekly review budget comparisons to identify variances, missing invoices, and correct contract service accruals as necessary.
  • Respond to all accounting inquiries and assist in the monthly close out.
  • Process SODA statements and submit to Regional Manager within three business days of move-out.
  • Utilize Yardi to post rent and produce accurate AME reports.
  • Answer telephones with an appropriate greeting and aide in leasing activities and resident relations.
  • Aide in the implementation of the Renewal/Resident Retention Program.
  • Perform pre-inspection walks with Service Manager 45 days prior to scheduled move out dates.
  • Comply with company policies and procedures and support the turnkey process during move outs.
  • Initiate the make-ready dashboard in Yardi on a newly vacant unit within 24 hours of move out.
  • Assist the Community Manager and/or the Leasing Manager by monitoring the leasing team and completing utility logs.
  • Enter service requests in Yardi as received.
  • Serve as a backup to the Community Manager, assuming their role in their absence.

Requirements

  • Two years’ experience in the multi-family apartment industry.
  • Experience in dealing with customers or the general public.
  • Previous leasing/customer service experience helpful.
  • Previous collection experience helpful.
  • Previous management experience helpful.
  • A high school diploma or GED.
  • Business school, college, marketing, or other accredited courses in sales and marketing preferred.
  • Proficiency in MS Office Suite.
  • Yardi experience a plus.
