Assistant Property Manager
About the Role

The Assistant Property Manager supports the Property Manager in overseeing a property or group of properties, ensuring fulfillment of obligations under the property’s management agreement. This role focuses on productivity, legendary customer service, and delivering tailored solutions to clients.
Responsibilities
- Assist with lease administration duties and all activities associated with property management.
- Supervise vendors (landscaping, janitorial, etc.) and maintenance staff.
- Perform regular property inspections and complete inspection reports; recommend maintenance or reconditioning as necessary.
- Assist Property Manager with development and control of operating and capital budgets.
- Prepare monthly reports for owners and coordinate tenant improvement and capital projects.
- Respond to tenant needs promptly, ensuring compliance with policies, procedures, and contractual obligations.
- Represent and communicate the authority of the Property Manager based on legal agreements and Transwestern policies.
- Initiate and execute day-to-day operational procedures to maintain and enhance property value and efficiency.
- Prepare Service Agreement and Construction Agreement documents, including work authorizations and amendments.
- Track and maintain Energy Star benchmarking data to ensure accuracy.
- Conduct tenant training meetings to improve building efficiencies.
- Maintain ongoing tenant relations to assess and resolve needs satisfactorily.
- Administer leases to ensure compliance with provisions and agreements.
- Determine and execute timely escalations, reconciliations, and rent collections.
- Maintain current certificates of insurance for tenants and ensure compliance with lease requirements.
- Show space to prospective tenants (requires real estate license where mandated by state law).
- Communicate with project accounting personnel using appropriate documentation.
- Prepare monthly ownership reporting, including variance reports and executive summaries.
- Manage day-to-day financial transactions, including accounts receivable, payable, and rent collection.
- Maintain compliance with Transwestern personnel policies and procedures.
- Perform miscellaneous duties or projects as assigned by the Property Manager.
Requirements
- Bachelor’s degree in Business Management, Finance, Accounting, or a related discipline.
- RPA designation in progress preferred.
- Real Estate License required where mandated by state law.
- Minimum of 3 years of property management experience, preferably in commercial/Class A Office management.
- Intermediate to advanced proficiency in MS 365 (Word, Excel, Outlook).
- Experience with accounting software such as MRI, Yardi, or CTI preferred.
- Ability to maintain strict confidentiality.
- Strong desire to succeed in an entrepreneurial environment.
- Ability to handle multiple projects, changing priorities, and a heavy workload.
- Exceptional oral and written communication skills.
- Strong customer service orientation.
Pay
Salary Range: $70,000 - $90,000
Schedule
This is an on-site role located in San Leandro, CA. Remote or hybrid options are not available.
