Key Responsibilities
- Manage day-to-day administrative functions with a strong focus on financial accuracy and budget compliance.
- Own accounts payable processes, including rigorous auditing of invoices to ensure accuracy, proper coding, and alignment with approved budgets.
- Lead or co-lead competitive bidding of contracted services, including cost analysis and vendor evaluation.
- Prepare company service agreements and monitor contracted services to ensure spend remains within budgeted parameters.
- Facilitate day-to-day tenant relations, supporting operational needs and inquiries on all sides.
- Develop, implement, monitor, and enforce property rules and regulations.
- Own accounts receivable for 3rd party billings and actively support the corporate accounts receivable department to minimize outstanding balances.
- Assist with quarterly and annual budget accruals, ensuring accurate financial reporting and forecasting.
- Assist with the preparation and compilation of the annual property budget.
- Support CAM reconciliation process.
- Process tenant billings accurately and on schedule.
- Manage supply procurement within approved budget parameters.
- Establish, implement, and oversee vendor check-in/check-out procedures.
- Supervise and coordinate on-site contractors.
- Monitor vendor performance against contract terms and escalate deficiencies.
- Ensure property compliance with local regulations, local laws, and inspections.
- Provide backup support as needed for absent management team members.
- Other administrative, clerical, or operational duties as assigned by management.
Qualifications
- Bachelor's degree in Finance, Accounting, Business Administration, or a related field required.
- 4+ years' experience in property management, financial administration, or a related field with demonstrated budget management responsibilities.
- Solid understanding of accounting principles, including accounts payable/receivable, accruals, and budget tracking — essential for success in this role.
- Prowess in managing and monitoring budgets, analyzing financial data, and identifying cost variances.
- Proven ability to manage multiple priorities, administrative coordination, and logistics.
- Outstanding written and verbal communication skills.
- Advanced proficiency in MS Office Suite, particularly Excel for financial tracking and reporting.
- Must demonstrate strong attention to detail with excellent organizational and follow-up skills.
- Ability to thrive in a fast-paced environment.
- Ability to work a flexible schedule to accommodate business needs, including holidays.
- Experience with MRI and/or Nexus strongly preferred given the financial reporting requirements of this role.
Pay
A reasonable estimate of the current base salary range for this position is $75,000 to $85,000. Employees may also be eligible to participate in an annual discretionary bonus program, subject to the rules governing the program, whereby an award, if any, depends on various factors, including, without limitation, individual and organizational performance.
