Key Responsibilities
- Master Procore for all project documentation, RFIs, submittals, and meeting minutes
- Process submittals within one week of receipt, ensuring compliance with contract documents
- Maintain accurate project logs (COP log, RFI log, submittal log) with meticulous attention to detail
- Create and distribute meeting agendas 24 hours before all meetings
- Complete meeting minutes within 2 workdays and distribute via Procore
- Avoid late payments by submitting invoices on Mondays, Wednesdays, and Fridays without exception
- Aid in monthly applications for payment, ensuring accuracy in all calculations
- Support buyout documentation and maintain subcontract tracking
- Prepare Work in Progress reports with updated schedules and change order logs
- Update project schedules weekly under PM guidance
- Maintain 3-4 week lookahead schedules for subcontractor meetings
- Respond to all emails within 24 hours, copying job folders appropriately
- Support daily huddles and weekly subcontractor progress meetings
- Ensure all documents are distributed as PDFs to prevent alteration
- Attend and document pre-installation meetings for critical trades
- Support the Superintendent with Last Planner board updates
- Help coordinate subcontractor communications and constraint tracking
- Aid in RGGC punch list creation and tracking in Procore
