About the role
The Assistant Project Accountant at Manhattan Construction Company is responsible for routine administrative duties, including maintaining accurate and complete records of project documents and assisting the project teams with the accounting and billing process. This position works under the direct supervision of either the Project Manager or a more senior Project Accountant. Key responsibilities include processing material and subcontractor invoices, assisting with subcontractor pay applications, managing lien requests, and supporting payroll processes.
Responsibilities
- Process all material and subcontractor invoices for approval and inputs into the accounting system
- Aids in the review of subcontractor pay application information, including current contract value, stored materials, owner direct purchasing, and retainage
- Requests, collects, and files partial and final release of liens; identifies and addresses any needed changes
- Tracks and assists with subcontractor insurance compliance renewals
- Requests and obtains valid W-9s for new vendors
- Collections, confirms compliance, and processes certified payrolls when required
- Processes personal action forms (PAF) for all craft employee changes
- Aids in generating billing backup details and reconciling billings against job cost per MCC Standards
- Prepares job cost corrections as required
- Sets up and maintains general subcontractor correspondence and accounting files in the document control system
- Receives, dates stamps, and distributes all incoming mail
- Orders and maintains stock of office supplies
- Helps maintain records of computer-related equipment and prepares equipment transfers as needed
- Supports the Superintendent or Safety Manager in maintaining OSHA documentation and postings
- Provides general administrative support to the project team as requested

Qualifications
- High school diploma or GED
- Previous relevant accounting experience or 2 years of industry experience
Skills & Abilities
- Computer knowledge and efficiency, including Microsoft Office products
- Knowledge of Vista or similar accounting system/ERP, or ability to navigate within 30 days of hire
- Good time management and organizational skills
- Ability to follow set instructions and seek results
- Functions effectively as part of a team
- Dependability

- Ability to physically stand, bend, sit for long periods, and squat throughout the day
- Ability to repeat the same movements
- Ability to communicate effectively to participate fully in meetings, video conferences, and phone calls

- Occasionally lift, pull, or move up to 25 lbs
Minimum Qualifications
- High school diploma or GED
- Previous relevant accounting experience or 2 years of industry experience
