Key Responsibilities
- Serve as the lead on-site operational contact in the absence of the Executive Producer.
- Oversee real-time execution of owned events, concerts, and experiential activations.
- Maintain operational alignment across departments, staffing teams, vendors, and venue partners.
- Monitor overall event flow and proactively resolve operational challenges before escalation.
- Ensure all operational areas remain on schedule and aligned with event objectives and execution standards.
- Aid in staffing logistics, operational scheduling, supply coordination, and overall event readiness.
- Assist with radio communication systems, credential distribution, staffing movement, and on-site operational logistics.
- Lead with adaptability, accountability, and strong attention to detail throughout all phases of event execution.
- Uphold high standards of professionalism, execution, and guest experience across all event teams.
- Act as the central liaison between Event Managers, Guest Experience Managers, supervisors, venue personnel, vendors, and agency leadership.
- Facilitate clear communication across all onsite departments to ensure seamless event execution.
- Manage operational escalations and coordinate timely resolution across teams.
- Support cross-departmental collaboration and problem-solving throughout all phases of event operations.
- Maintain strong working relationships with venue staff, operational vendors, staffing partners, and activation partners onsite.
- Coordinate vendor arrivals, operational needs, and onsite logistics.
- Ensure vendors and partners execute according to operational expectations, timelines, and event standards.
- Support staffing preparation efforts for owned events, including hiring coordination, onboarding, and workforce planning.
- Initiate and oversee staffing processes including recruitment coordination, candidate outreach, scheduling support, and staff readiness.
- Partner with Event Managers to support hiring efforts for event staff, supervisors, coordinators, and activation teams.
- Help develop and facilitate staff training focused on operational procedures, guest interaction standards, brand representation, and event readiness.
- Oversee pre-event staff communication and operational readiness initiatives.
- Ensure staff are properly trained on event expectations, escalation procedures, safety protocols, and guest experience standards.
- Support development of staffing workflows, operational playbooks, and training materials to improve consistency across events.
Required Qualifications & Experience
- 3–5+ years of live event, experiential, festival, or venue operations experience.
- Prior experience leading onsite event operations and cross-functional teams.
- Strong leadership, communication, and multitasking skills.
- Prior experience and success in managing multiple operational priorities simultaneously.
- Proven ability to problem solve under pressure in a live-event environment.
- Experience working with vendors, venues and operational partners.
- Ability to work effectively in high-pressure, fast-paced environments.
- Flexible schedule availability including nights, weekends, and holidays.
