Essential Duties & Key Responsibilities
- Aid the Procurement team in securing products and services from qualified vendors and subcontractors.
- Coordinate bid package documents, creation, and distribution to ensure clear requirements for bidders.
- Collect and review new and updated vendor and subcontractor prequalifications.
- Participate in project meetings to support the development of procurement schedules.
- Support the Bid Process by following established procedures and participating in bid list development.
- Understand and track UBE requirements to support tracking efforts.
- Examine plans and specifications for deficiencies, construction issues, and technical questions; escalate findings for resolution.
- Review bids, update bid recording sheets, and document action items.
- Process awards with support from Procurement Agents/Managers.
- Develop approval documentation for subcontractor awards, as required by contract.
- Develop knowledge of various contract forms and apply them based on scope of work.
- Prepare and issue contract forms and follow up for timely execution of subcontract, receipt of COIs, P&P bonds, and other project-specific items.
- Assist in the development of Risk Management Plans, as required.
- Track receipt of initial COIs and follow up on yearly renewals.
- Track receipt of bonds, bond authentication, and consents of surety (e.g., reserve reductions, off-site material payments, and final payments).
- Perform other duties as assigned.
Qualifications
- Bachelor’s Degree from an accredited degree program and minimum of 1 year of related experience and/or training, or equivalent combination of education and experience.
- Foundational knowledge of construction industry and related construction operations.
- Basic knowledge with contract documents, drawings, specifications, scopes of work, and project schedules.
- Basic knowledge of procurement and accounting policies.
- Demonstrate elements of leadership, teamwork, and ability to build professional relationships.
- Professional verbal and written communication skills.
- Attention to detail and organizational skills.
- Demonstrate elements of analytical thinking, good judgment, and problem-solving skills.
- Able to work in a non-structured environment with multiple project teams and flexibility to reprioritize responsibilities with management direction.
- Proficient computer skills, database application skills, and Microsoft suite of applications.
- Limited travel.
