Pay Range: $19.25 – $22.45 per hour

About the role

Within established management operating and fiscal policy, the Assistant Manager assists the Community Manager in managing the day-to-day activities of operating and maintaining facilities and equipment in housing projects designed to provide low-income families, seniors, special users, or other eligible individuals with furnished or unfurnished housing in single or multi-unit dwellings.

Responsibilities

  • Orders office supplies.
  • Schedules maintenance repairs, generates and files completed work orders, and follows-up as appropriate.
  • Assists in resident move-in/out procedures and unit inspections.
  • Maintains wait list and processes applications in conformance with compliance regulations and policies; explains move-in procedures.
  • Collects rent, accounts for monies collected, and performs daily bank deposits as needed.
  • Handles office interactions and telephone inquiries in a friendly, courteous, and sincere manner.
  • Sorts and distributes inner office mail.
  • Prepares resident recertifications by interviewing residents, obtaining documentation, and completing worksheets for manager approval.
  • Compiles and maintains accurate resident records (e.g., Emergency Information, Incident Reports).
  • Maintains resident files in a neat, orderly manner according to standard policies.
  • Refers applicants to alternative housing if units are occupied or the wait list is closed.
  • Ensures consistent application of project and program (HUD, CHFA, RHCP, TCAC, etc.) rules and regulations.
  • Prepares Project Status Reports (PSRs).
  • Maintains a clean, well-organized office and professional appearance.
  • Promotes harmonious relations among residents, personnel, and the community.
  • Represents the project in business-related matters to residents and the community.
  • Demonstrates sensitivity to housing philosophies of the owner/sponsor and cultural/economic backgrounds, special needs, and adheres to Equal Employment/Housing Opportunity requirements.
  • Exercises good judgment, consistency, and self-control in day-to-day resident and business interactions.
  • Demonstrates company loyalty and integrity in financial matters, reports, and relationships.
  • Actively participates in a culture of inclusivity.

Qualifications

  • 6 months clerical/office experience or related training.

Skills

  • Types professionally and accurately at a minimum of 40 wpm.
  • Previous property management experience a plus.
  • General understanding of preventive and ongoing apartment maintenance.
  • Computer literacy—PC hardware, YARDI software a plus.
  • Proficient in word-processing and spreadsheet software (Word, Excel, Outlook).
  • Self-starter, flexible, detail-oriented, and well-organized.
  • Ability to work independently and in a team environment.
  • Experience working with diverse groups (staff, residents, outside contacts).
  • Commitment to company goals and philosophy.
  • Passionate about equitable housing.
  • Experience with HUD or CTCAC properties a plus.

Language, Math & Reasoning Skills

  • Ability to read, analyze, and interpret business periodicals, professional journals, technical procedures, government regulations, loan documents, financial reports, and legal documents.
  • Ability to respond to inquiries or complaints from customers, regulatory agencies, or business community members.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information to top management, public groups, officials, and/or boards of directors.
  • Ability to calculate discounts, interest, proportions, and percentages.
  • Ability to produce budgets, analyze financial reports, income statements, and perform cost analyses.
  • Ability to solve practical problems with limited standardization.
  • Ability to interpret instructions furnished in written, oral, diagram, or schedule form.

Physical Demands

  • Regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear.
  • Frequently required to stand and walk.
  • Occasionally required to climb or balance; stoop, kneel, crouch, or crawl.
  • Must occasionally lift and/or move up to 25 pounds.
  • Specific vision abilities required include close vision and ability to adjust focus.

Work Environment

The noise level in the work environment is usually moderate.
