About the role
The Assistant Manager, Program Operations serves as a key operational and project coordination lead reporting under the Chief of Staff/Chief Administrative Officer in the planning, coordination, and execution of agency specific events, executive-level reporting deliverables, B&T employee engagement initiatives, and committee and board publications.
Responsibilities
- Project Coordination & Executive Reporting Support
- Supports cross-functional operational coordination and executive-level reporting workflows, including Board Committee materials, KPI reporting, and structured agency-wide updates requiring input from multiple departments.
- Independently manages the tracking, coordination, and status monitoring of recurring reporting deliverables and executive submissions.
- Collaborates with departments to collect, validate, organize, and compile narrative and data inputs.
- Reviews materials for completeness, accuracy, formatting consistency, and adherence to established reporting standards.
- Maintains tracking systems, schedules, and reporting logs to support workflow visibility and accountability.
- Event Planning, Execution & Program Support
- Supports operational initiatives through the preparation and coordination of multimedia, visual, and digital materials used for agency-specific events, B&T employee engagement activities, and informational updates.
- Collaborates and liaises with corporate internal and external communications as needed to ensure consistency in materials and messaging.
- Internal Engagement & Informational Materials Support
- Supports coordination of materials related to B&T agency specific initiatives, events, and public awareness efforts.
- Collaborates with departments to gather, organize, and consolidate information for distribution across appropriate channels.
- Reviews materials to ensure consistency, accuracy, and alignment with agency standards and messaging objectives.
- Stakeholder Coordination
- Serves as a central administrative and operational coordination role supporting multiple departments, stakeholders, and concurrent workstreams to ensure timely completion of agency initiatives and deliverables.
- Coordinates deliverables, timelines, and follow-up activities across internal departments and external stakeholders.
- Monitors workflow progress across reporting cycles, events, operational initiatives, and content-related projects.
- Maintains organized workflow systems, documentation, and tracking tools to support continuity, prioritization, and accountability across multiple projects and initiatives.
Qualifications
- Bachelor’s Degree in Arts/Sciences (BA/BS) or related field.
- Minimum 5 years of experience in program coordination, administrative operations, executive support, project management, or similar cross-functional coordination roles.
- Minimum 3 years of experience in graphic design, multimedia production, or related fields, with proficiency in Adobe Creative Suite (e.g., Photoshop, InDesign, Illustrator, After Effects, Premiere Pro).
- Strong organizational/coordination skills and demonstrated ability in meeting deadlines.
- Ability to work independently and/or simultaneously on multiple projects.
- Strong writing, editing, and content development skills.
- Ability to research, interpret, and clearly present findings for decision-making.
- Detail-oriented, proactive, reliable, and flexible.
- Demonstrated proficiency with Adobe Creative Suite (e.g., Photoshop, InDesign, Illustrator, Premiere Pro).
- Proficiency with Microsoft Office Suite, including Excel for tracking and reporting.
- Familiarity with content management systems (CMS) or digital publishing tools.
- Experience with web design concepts (e.g., HTML/CSS), social media tools, content scheduling platforms, or additional video production tools.
- Familiarity with data or reporting tools (advanced Excel, SQL a plus).
- Experience with photography and/or motion graphics/animation.
- Experience supporting large-scale events, live operations, or field-based environments.
- Experience in communications, content development, or digital media, including writing, editing, or multimedia content creation.
