About the role

As a leading Trane® independent office, Brady brings efficient, reliable, and secure building solutions throughout central and eastern North Carolina. This full-time salaried Assistant Fleet Manager position supports the Director of Fleet Management.

Responsibilities

  • Maintain and update driver qualification files, licenses, and medical certificates using JJ Keller.
  • Monitor adherence to DOT, FMCSA, and state regulations, including drug and alcohol testing (DOT clearing house) and hours of service.
  • Provide training and coaching on DOT regulations and hours of service as necessary.
  • Monitor fleet telematics system (Samsara) for electronic log compliance and troubleshoot forward-facing and driver-facing cameras.
  • Conduct audits of drivers to ensure compliance through fleet management and tracking software.
  • Deliver safety education, including a safety curriculum and regular in-person safety meetings.
  • Conduct accident investigations, coordinate with insurance companies, repair shops, and provide replacement equipment.
  • Participate in new hire onboarding and orientation processes.
  • Promote a culture of safety through awareness campaigns and initiatives.
  • Perform accurate and timely data entry for fleet support systems, including Fleet Management, fuel card, and toll tag systems.
  • Visit the DMV to process vehicle registrations and ensure compliance with legal and regulatory requirements.
  • Prepare documents and equipment for installation in new vehicles.
  • Perform physical inspections of spare and reassigned vehicles and trailers.
  • Arrange for maintenance and repair of spare and reassigned vehicles and trailers.
  • Ensure spare vehicles are ready for use.
  • Perform commissioning tasks for newly acquired vehicles, reassignments, and spares (DOT numbers, toll road transponders, fuel cards, etc.).
  • Demonstrate and promote teamwork and cooperation throughout the company.
  • Improve processes and personal performance continually.
  • Provide responsive, professional, and diplomatic customer service via a company-provided mobile phone.
  • Answer customer/vendor calls and correspondence quickly and pleasantly.
  • Follow all company safety programs and report non-compliance.
  • Perform other duties as assigned by the fleet management team.

Requirements

  • High attention to detail and strong organizational skills.
  • Proficiency in working with various software systems, including Microsoft Outlook, telematics systems, FMCSA website, and strong Excel skills.
  • In-depth knowledge of FMCSA regulations, HOS rules, ELD requirements, DOT compliance, and driver qualifications files.
  • Excellent communication skills to assist drivers and collaborate with team members.
  • Ability to prioritize workload and thrive in a fast-paced environment.
  • Reliable and dependable with a strong work ethic and ability to meet deadlines.
  • Sound interpersonal and creative problem-solving skills.
  • Strong written and verbal communication skills.
  • Valid driver’s license.
  • Ability to respond to inquiries or complaints from customers or business community members.
  • Ability to present information effectively to management and other associates.
  • Ability to apply mathematical concepts such as fractions, percentages, ratios, and proportions.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.

Qualifications

Education and/or Experience: Not specified beyond the requirements listed above.

Physical Demands: The role requires operating a motor vehicle, standing, walking, and reaching with hands and arms. Occasional lifting of up to 25 pounds. Ability to climb into vehicles for inspections, decommissioning, new deployments, and preparation for sale. Specific vision abilities include close vision and ability to adjust focus.

Work Environment: Typical office environment with moderate noise levels. Ability to pass drug screening and prove US employment eligibility.
