About the role
Newmark is seeking an experienced facilities professional to provide day-to-day operational support for a GDIT facility in Egg Harbor Township, with occasional support to a nearby GDIT warehouse. The Assistant Facility Manager will serve as a primary on-site facilities resource and work closely with GDIT stakeholders, property management, landlords, vendors, and Newmark leadership to maintain a safe, reliable, well-maintained workplace. The successful candidate will combine strong customer service and organizational skills with practical knowledge of commercial building systems, particularly HVAC and Building Automation/Building Management Systems (BAS/BMS). The role requires sound judgment, independent follow-through, effective vendor coordination, and the ability to perform minor non-licensed maintenance tasks when appropriate.
Responsibilities
- Support the day-to-day operational management of the facility and nearby warehouse, maintaining a high standard of quality and responsiveness.
- Conduct routine facility inspections / Management by Walking Around (MBWA), identify deficiencies, initiate corrective action, and track open issues through completion.
- Monitor and support commercial HVAC, mechanical, electrical, and related building systems; assess issues, gather relevant information, and engage qualified service providers when required.
- Become proficient with the site BAS/BMS to monitor equipment, temperatures, alarms, trends, and operating conditions and make authorized adjustments as appropriate.
- Receive, dispatch, document, update, and close service requests using FAMIS360 or other designated work-order/CMMS systems; support preventive-maintenance and asset-data accuracy.
- Coordinate and monitor vendors and contractors for HVAC, electrical, plumbing, life-safety, general maintenance, and related services, including access, scheduling, proposals, repairs, performance, and completion verification.
- Maintain effective working relationships with GDIT stakeholders, occupants, landlords/property management, contractors, and Newmark personnel; provide timely, accurate status updates and follow-through.
- Understand landlord-versus-tenant maintenance responsibilities and coordinate or escalate issues in accordance with lease obligations and account procedures.
- Perform minor facility maintenance that does not require a licensed trade, such as lamp replacement, minor door/hardware adjustments, hanging signage/pictures, and other basic facility tasks.
- Support facility incidents and emergencies involving HVAC, power, water, life-safety systems, or other building infrastructure; coordinate response, escalation, communication, documentation, and follow-up through resolution.
- Coordinate small facility repairs, moves, and improvement projects, including contractor walkthroughs, scope development, pricing, scheduling, execution, punch-list activities, and closeout; escalate complex or multi-trade work to the appropriate project-management resource.
- Assist with purchase orders, vendor proposals, invoices, operating budgets, forecasting, variance reporting, and cost-control activities as required.
- Maintain accurate site documentation, vendor and emergency contacts, service information, inspection records, escalation procedures, and other information needed for operational continuity.
- Comply with all Newmark and GDIT safety, security, badging, access-control, confidentiality, and applicable regulatory requirements.
- May require additional work outside normal business hours, including overtime and/or on-call response based on operational needs.
- Perform other duties as assigned.
Requirements
- Minimum 3 years of progressively responsible experience in facilities coordination, facilities management, building operations, building engineering support, or a related field.
- Bachelor's degree or equivalent combination of relevant education, technical training, and practical facilities experience.
- Working knowledge of commercial HVAC and mechanical building systems and general knowledge of commercial electrical systems sufficient to assess issues and coordinate qualified repairs.
- Strong customer-service, vendor-management, troubleshooting, organizational, and follow-through skills.
- Ability to manage multiple priorities with limited supervision and determine when an issue requires escalation or specialized technical support.
- Strong written and verbal communication skills and the ability to interact professionally with client stakeholders, occupants, property management, vendors, and technical personnel.
