Job Summary

The Assistant Director of Student Events will be responsible for planning and implementation of all aspects of large-scale programs and events for the schools of UT Southwestern Medical Center. This position will be responsible for managing a variety of staff and contractors and will collaborate with various University departments to ensure multiple high-profile events throughout the year are a success. Assists as a liaison with the Office of the President, the Provost Office, Communications and Public Affairs, deans of the four schools, and committees working on all student events.

Required EXPERIENCE AND EDUCATION

  • Education: Bachelor's Degree in Business or a related field
  • Experience: 6 years of experience in event planning
  • Additional years of directly related experience may be considered in lieu of stated degree requirements on a year for year basis.

Job Duties

  • Provide high skilled coordination and professional administrative skills for high level events and project management.
  • Responsible for the planning, logistics and ongoing management of programs and events for our four schools.
  • Manage key aspects of commencement and white coat ceremonies, including student and guest management, school, college, program coordination, printed materials, music, multimedia services, recruitment and management of volunteer staff, oversight of logics.
  • Use independent judgment & discretion for University's high-profile events.
  • Develop and manage the communication plan for commencement as well as other events for four schools, ensuring correct information is circulated to faculty, staff, students, parents and published for external audiences in a timely manner.
  • Affords as a liaison with the Office of the President, the Provost Office, Communications and Public Affairs, deans of the four schools, and committees working on all student events.
  • Works with internal and external service providers, to achieve best value and excellent service for high-profile ceremonies and events (catering, print, design, venues, photography, others as required).
  • Participates actively on planning committees for recurring events including orientations, United to Serve, Second Look Weekend (MS0) and various other opportunities involved with students.
  • Supports and acts as backup for the director of Student Life.
  • Performs other duties as assigned.
