About the role
The Financial Aid Assistant Director oversees the Federal Work Study Program and serves as the direct point of contact for UAB departments and off-campus work-study employers. Key responsibilities include coordinating work-study assignments, managing job postings in Handshake, monitoring time worked in KRONOS, supervising work-study students, and providing personal counseling and guidance to students and parents.
Responsibilities
- Congruent with the mission of the Student Financial Aid Office, the Assistant Director coordinates work-study assignments and manages the review and approval of job postings in Handshake.
- Maintains oversight of the Federal Work Study Program, including managing the review and approval of job postings in Handshake, and monitoring time worked in KRONOS for off-campus agencies.
- Serves as the primary point of contact for UAB departments and off-campus work-study employers, ensuring compliance with federal and state requirements.
- Supervises the Financial Aid Office work-study students and performs monthly reconciliation of work-study accounts.
- Provides personal counseling, information, and guidance to students and parents concerning financial assistance programs.
- Assists in outreach efforts representing the Student Financial Aid Office through presentations and various UAB events.
- Assists with interpreting federal and state regulations and guidelines, implementing procedures to ensure compliance, preparing new year set up and monthly reconciliation for the Federal Work Study Program accounts and Off-Campus billing.
- Serves on the Financial Aid Appeals Committee and assists with the appeal process.
- Aids in the Return of Title IV adjustments and updates to student files.
- Acts as a general resource for Admissions, One Stop, Scholarships, and other UAB staff members.
- Assists with other Financial Aid team members, answering questions and reviewing student accounts throughout the day, and acts as a backup for other daily processes.
Requirements
- Bachelor’s degree in a related field and three (3) years of related experience required.
- Must have a team-centered approach, excellent customer service skills, and the ability to multitask to handle high volume calls, student walk-ins, and emails.
- Prioritize experience processing federal financial aid in a higher education environment is preferred.
- Banner and Oracle HR/Finance experience is a plus.
Qualifications
- Must maintain a current working knowledge of federal regulations by attending regular training, conferences, and continuing communication with other aid professionals.
