Assistant Director Catering and Convention Services
About the Role
Town and Country Resort is seeking an Assistant Director of Catering & Convention Services who can turn big ideas into flawlessly executed events—even when timelines change, guest counts grow, and last-minute requests arise. With 671 guest rooms, extensive meeting and event space, multiple restaurants and bars, and a dynamic convention calendar, we need a hospitality professional who leads with confidence, collaborates across departments, and ensures every client feels their event is the only one happening on property.
Responsibilities
- Lead and support the Catering & Convention Services team in planning and executing meetings, conventions, social events, weddings, and all associated details from turnover to farewell.
- Partner with clients to understand their vision, anticipate needs, and manage expectations (e.g., explaining logistical constraints like overlapping setups).
- Review BEOs, resumes, diagrams, timelines, guarantees, and event details to ensure alignment across teams.
- Collaborate with Banquets, Culinary, Housekeeping, Engineering, Front Office, Sales, Finance, and other departments for seamless event execution.
- Conduct pre-convention meetings, event briefings, and operational meetings to disseminate critical information.
- Monitor event execution and proactively resolve issues before they impact the client experience.
- Build strong relationships with meeting planners, corporate clients, wedding professionals, vendors, and event partners.
- Identify upselling opportunities and revenue-generating strategies while prioritizing guest experience.
- Review event profitability and recommend improvements for revenue, efficiency, and client satisfaction.
- Coach, mentor, and develop team members, establishing and upholding service standards.
- Step in to address unexpected challenges—common in events—with composure and solutions.
- Maintain accurate records, communicate changes clearly, and document all event details.
- Assist with forecasting, staffing, scheduling, and departmental planning.
- Handle client concerns professionally with a solutions-first mindset.
- Support the Director of Catering & Convention Services with strategy, projects, and day-to-day leadership.
- Participate in leadership meetings and cross-functional initiatives across the resort.
- Champion the Town and Country Resort guest and team member experience in all actions.
Requirements
- Previous leadership experience in hotel catering, convention services, event operations, or a similar hospitality environment.
- Strong knowledge of catering and convention operations, including BEOs, event timelines, room setups, food and beverage, audiovisual coordination, and banquet operations.
- Experience managing multiple events and priorities simultaneously.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Ability to confidently interact with executive-level clients, meeting planners, vendors, and hotel leadership.
- Financial acumen and understanding of event profitability and revenue management.
- Genuine passion for hospitality and creating memorable experiences.
- Ability to make decisions quickly, calmly, and professionally under pressure.
- Collaborative, accountable, and hands-on leadership style.
- Proficiency with hotel/event management systems and strong computer skills.
- Flexibility to work evenings, weekends, and holidays as business demands.
Preferred Qualities
- Ability to intuitively identify issues in a ballroom before they escalate.
- “That's not my department” is not part of your vocabulary.
- Enjoyment of reading and interpreting BEOs.
- Belief that successful events hinge on details and relationships.
- Capacity to manage multiple conversations simultaneously without losing track.
- Understanding that clients remember how you made them feel, not just flawless execution.
- View “we've always done it that way” as an opportunity for innovation.
- Ability to handle pressure without transferring stress to others.
- Recognition that true hospitality shines when plans go awry.
