Assistant Director, Business Operations - Recreational Services
About the role
The Assistant Director, Business Operations - Recreational Services oversees the financial and operational aspects of the department, including developing and managing the operating budget, tracking and reporting departmental revenue and expenditures, and managing various software systems.
Responsibilities
Develop, implement, and monitor operating budget for department using BudgetPak, including sport clubs and Student Wellness Team.
Oversee the tracking and reporting of departmental revenue and expenditures, providing regular financial updates to the Director of Recreation & Wellness.
Manage and update equipment replacement and capital budget plans for upcoming 15 years.
Cook up and analyze departmental reports, including financial reports and program benchmarking to maximize cost efficiency, implement pricing strategies for memberships and services, streamline processes, and recommend improvements.
Manage processing of all expenditures for the department, including payment request, requisitions, credit card transactions, and payroll for student and non-student departmental employees.
Process and track all invoices for department rentals.
Manage office operations, including, but not limited to, departmental email accounts, supply ordering, scheduling appointments, and filing.
Address patron inquiries and resolve issues related to membership, facility rentals/reservations, and departmental policies/processes.
Program, update, and run reports for CSI Spectrum member management software.
Manage Colleague system with student employee records, door access privileges, and student Rec Center access.
Approve and input events into the university facility scheduling system, Coursedog.
Review and edit departmental policies and procedures regularly to ensure compliance with industry standards and safety in all recreational activities and operations.
Promote and process all memberships, including application development, email/portal/website promotion, data implementation into CSI Spectrum membership management software and background checks for community members.
Track all revenue through budgets, input into CSI and process departmental deposits.
Track and run reports for employee membership reimbursement program each semester.
Enter facility, IT, and marketing tickets as needed.
Assist with the development, implementation, and management of employee, student, and campus-wide wellness programs and initiatives for the university that promote the 7 dimensions of wellness.
Market and promote wellness programs, tips, and initiatives, through portal, email, etc.
Foster employee participation and engagement in wellness activities through targeted communication and outreach.
Collaborate with external vendors to promote health and wellness discounts and benefits to employees.
Track and analyze the effectiveness of wellness programs using metrics such as participation rates and feedback surveys.
Recommend improvements based on data and employee feedback to continually enhance wellness offerings.
Ensure Employee Wellness portal page and wellness website are updated and are enhancing employee engagement and campus wide well-being.
Oversee the Active Workstation program and rotation amongst employees.
Aid in the departmental hiring process for student and non-student workers, including coordinating all onboarding paperwork and background checks.
Oversee all staff tracking spreadsheet.
Interview, hire, train, supervise and evaluate Sport Clubs & Business Operations Intern.
Work closely with Customer Service Lead to ensure all Customer Service operations are running smoothly and accurately.
Aid in the development and implementation of all-staff training, specializing in membership and Customer Service Supervisor training, as well as leadership training.
Communicate with Customer Service staff daily and ensure all membership/pass processes are completed properly.
Represent the Recreation & Wellness department at special university activities.
Support retention efforts through guidance and leadership.
Assist in the development of the Recreation & Wellness strategic plan.
Serve as a designated member of institutional committees when assigned.
Provide indirect leadership of the Marketing Intern and create new marketing practices.
Manage background checks for professional staff within department.
Other duties as assigned.
Qualifications
Bachelor’s degree within business or a related field.
Minimum of two (2) years working within an office setting.
Budget experience.
Leadership, communication and interpersonal skills.
Strong analytic and problem-solving abilities.
Proficiency in Microsoft applications, budgeting software (BudgetPak), Colleague, CSI Spectrum member management software, WhenToWork employee scheduling software, Kronos timekeeping system, and Coursedog scheduling software.
Excellent communication skills, including writing and verbal.
Strong organizational and multitasking skills.
Strong customer service.
Knowledge of Recreation & Wellness industry standards and trends.

Physical Demands
Long hours spent working at a desk on a computer. Requires flexibility with respect to work hours and time-sensitive assignments, multiple concurrent tasks, and frequent interruptions and deadlines. Lifting is occasional, usually no more than ten pounds. Occasionally required to reach, balance, stoop and kneel. May be up and down from a sitting to a standing position (or vice versa) frequently throughout the workday.
