About the Role

Provides administrative support for the Museum's Education department to ensure efficient operation and coordination of all related museum programs. This position is subject to grant funding.

Responsibilities

  • Responds to inquiries to the Education department and resolves complex problems requiring broad understanding of work-area policies and procedures to ensure questions are answered and issues resolved in a timely manner.
  • Processes Ariba accounts payable requests and generates reports from NSU-specific software systems to ensure accurate processing and record-keeping.
  • Assists the Curator of Education in the development, production, and distribution of teacher resources, family guides, and community outreach materials.
  • Assists the Curator of Education in the development, execution, and scheduling of workshops, lectures, programs, and events based on exhibitions and collections.
  • Coordinates K-12 school tours in collaboration with Visitor Services and group sales student workers.
  • Collects and compiles attendance and demographic information for Museum outreach programs and submits data for grant purposes on a timely basis.
  • Provides work scheduling and support for the Museum's docent program to ensure efficient use of docents within the Museum.
  • Monitors Education department staff interns to ensure smooth operation.
  • Schedules student workers and/or volunteers for PCI training and arranges for all Education staff to attend special trainings and workshops on exhibition and related information.
  • Creates virtual education content, assists in program research, development, and evaluations under the direction of the Curator of Education.
  • Assists in arranging guest lecturers, space reservations, and equipment needs.
  • Conducts exhibition tours, art history lectures, and activities in virtual and in-person settings.
  • Assists with group sales phone calls, correspondence, and coordination of collecting data and surveys from participants.
  • Performs other duties as assigned by supervisor.

Requirements

  • Bachelor's Degree.
  • One (1) to two (2) years of administrative experience in an office environment, and/or coordinating a function within an office.

Skills

  • Proficient knowledge of MS Office (Word, Excel, Outlook), Adobe Suite, data entry, and Internet research.
  • Knowledge of office practices and procedures (e.g., filing, answering telephones, supply/equipment ordering).
  • Ability to enter and verify information with accuracy.
  • Ability to understand and follow oral and written instructions.
  • Ability to maintain confidential information.
  • Strong administration skills: organized, thorough, systems-oriented with meticulous attention to detail.
  • Proactive, punctual, and reliable; ability to work flexible hours, days, and weekends.
  • Excellent written and oral communication skills.
  • Ability to manage multiple projects concurrently.
  • Ability to collaborate effectively with various departments.
  • Must be able to interact comfortably with a broad range of museum constituents, including school-age children and senior citizens.

Physical Requirements / Working Conditions

  • Ability to communicate effectively with others.
  • Ability to work cooperatively with colleagues and supervisory staff at all levels.
  • May be exposed to short, intermittent, and/or prolonged periods of sitting and/or standing in performance of job duties.
  • May be required to accomplish job duties using various types of equipment/supplies, including pens, pencils, computer keyboards, computer mouse, and projectors.

Preferred Qualifications

  • Experience in a cultural or educational institution.

Background screening is required for this position.
