About the Role
Provide administrative support to designated Sales Managers or Directors in accordance with departmental and The Venetian Resort’s policies, practices, and procedures.
Responsibilities
- Generate proposals, contracts, addendums, turnovers, and other internal documents efficiently and timely.
- Compile and generate expense reports and route them accordingly and in a timely manner.
- Update and complete all data for complimentary charges within the Company Comp system.
- Process amenity orders for site inspections, VIPs, and other requests as needed.
- Schedule appointments, maintain calendars, and make travel arrangements.
- Answer, screen, and route telephone calls as needed; assist with phone and receptionist coverage.
- Assist managers with site inspection coordination as needed.
- Develop and maintain positive and appropriate relationships with clients and guests to support sales efforts.
- Take initiative to solve problems to resolution.
- Support other members of the Sales Team as needed.
- Document all pertinent contract routings and other necessary information as defined by department SOP’s and sales process.
- Adhere to safety as an essential function of this job.
- Maintain consistent and regular attendance.
- Perform other related duties as assigned.
- Conduct and carry yourself in a professional manner at all times, observing Company’s standards, work requirements, and rules of conduct.
Requirements
- 18 years of age or older.
- Proof of authorization/eligibility to work in the United States.
- High School Diploma or equivalent; Bachelor’s Degree in Hotel Management preferred.
- Must be able to obtain and maintain any required certification or license by law or policy.
- 1 year of hotel sales administrative experience in a luxury property preferred.
- Proficient with Microsoft Office (Word, Excel, PowerPoint, SharePoint).
- Familiarity with Delphi, Daylight, or Microsoft Dynamics CRM.
- Strong organization skills and ability to coordinate work without direct supervision.
- Attention to detail, strong typing, customer service, and listening skills.
- Ability to communicate clearly and effectively in English, both spoken and written.
- Strong interpersonal skills with the ability to communicate effectively with guests and team members of different backgrounds and experience levels.
- Must be able to work varied shifts, including nights, weekends, and holidays.
Physical Requirements
- Must be able to lift or carry 10 pounds unassisted.
- Physically access all areas of the property and drive areas with or without reasonable accommodation.
- Maintain composure under pressure and consistently meet deadlines.
- Ability to interact appropriately and effectively with guests, management, team members, and outside contacts.
- Ability to walk, stand, stretch, bend, and kneel for prolonged periods.
- Work in a fast-paced and busy environment.
- Work indoors and be exposed to environmental factors such as CRT, noise, dust, and cigarette smoke.
