About the Role

The Assistant Project Manager works with internal and external project teams to facilitate project documentation and delivery requirements, ensuring effective communication through day-to-day administration and coordination. This role involves producing and distributing meeting agendas and minutes, managing RFIs and submittals, handling drawing management, assisting with change order review, and maintaining project documentation in construction management software. Travel may be required up to 25% of the time.

Responsibilities

  • Participate in the setup and maintenance of construction project management, including planning, scheduling, and budgeting prior to project start.
  • Assist in coordinating and expediting shop drawings, submittals, construction materials, change orders, pricing, and related approvals.
  • Create, update, and maintain RFI logs, submittal logs, bulletin schedules, and start-up document checklists.
  • Coordinate and communicate all required information for construction and installation of owner-furnished equipment.
  • Update and maintain contract drawings with new information from bulletins, RFIs, ASIs, and proposal requests.
  • Review contractor and material supplier invoices, company invoices, change order pricing, drawings, and submittals.
  • Maintain and update project schedules.
  • Initiate, organize, and attend project meetings, ensuring agendas and minutes are produced and distributed.
  • Assist Project Manager(s) with updating PM Web for RFIs, submittals, drawing logs, and other management tools.
  • Maintain the CBI report and ensure all insurance is up to date.
  • Assist with compiling project close-out and operation and maintenance manuals for delivery to the owner.
  • Support Project Manager with change order reviews.
  • Create and maintain project information in the project management system.
  • Correspond with subcontractors and vendors on routine inquiries throughout the project duration.
  • Coordinate invoice routing and monitor payments to contractors and vendors.
  • Compile and distribute meeting minutes as needed.
  • Prepare meeting agendas and arrange logistics such as catering for meetings.
  • Maintain field drawings with updates, modifications, and deletions.

Requirements

  • Bachelor’s Degree in Building Science, Construction Management, Civil Engineering, or a related field.
  • 1–3 years of industry experience; Owner’s rep or Program Management experience is preferred.
  • Experience with construction project management software such as Viewpoint, VICO, and BIM.
  • Proficient in MS Word.
  • Valid Driver’s License required.
  • LEED AP and/or CCM certifications are helpful.

Physical Demands and Working Environment

The role requires sufficient physical ability and mobility to work in an office and outdoor setting, with exposure to various weather and temperature conditions. Responsibilities include:

  • Standing or sitting for prolonged periods.
  • Occasional stooping, bending, kneeling, crouching, reaching, and twisting.
  • Lifting, carrying, pushing, or pulling light to moderate amounts of weight.
  • Operating equipment requiring repetitive hand movement and fine coordination.
  • Traveling to other locations using private or commercial transportation.
  • Verbal communication to exchange information.

Vision and hearing must be within the normal range, with or without correction.
