About the role

This role supports and assists the Community Manager in overseeing and managing the financial and operational facets of the community. Responsibilities include completing accounting and bookkeeping tasks, preparing monthly close-out and financial reports, processing invoices for payment, collecting rent and fees, completing bank deposits and reconciliations, and using property management software to record, track, and report on all financial workings of the community.

Responsibilities

  • Complete daily transactions and tasks related to the financial operation of the community, including collecting and posting rent, fees, and other payments, preparing daily bank deposits, reconciling bank accounts, preparing financial reports, and processing invoices and payables.
  • Operate property management software (Yardi/OneSite) by entering all required fields correctly, completing updates, and performing back-ups to ensure system integrity.
  • Review resident files and accounting records to identify unpaid and/or late fees, communicate with residents regarding outstanding balances, implement collection procedures, and enforce lease terms to maximize revenue.
  • Review and submit invoices from vendors, contractors, and service providers for payment by reconciling work performed or products purchased, obtaining community manager approval, coding charges to appropriate Chart of Account codes, and managing communication between vendors, accounting, and the client/owner.
  • Follow the Company’s established procedures related to evictions, including proper notice requirements, evicting residents, and representing the community in court hearings and eviction proceedings.
  • Process resident move-outs by reviewing lease terms and notice requirements, applying appropriate deposit and lease cancellation fees, and processing dispositions in accordance with established procedures and legal requirements.
  • Promote resident satisfaction and retention by responding to complaints, questions, and requests in a timely manner and taking appropriate action to resolve service issues.
  • Act as the on-site supervisor in the absence of the community manager by organizing and delegating daily work, coordinating maintenance and make-ready tasks with the maintenance supervisor, and managing community operations in compliance with Company policies and procedures.
  • Assist in managing the client/owner relationship by meeting with owners, conducting community tours, providing updates on community performance, and responding to owner requests.
  • Support leasing and marketing efforts by greeting prospective residents, gathering prospect information, showing ready apartments and models, closing leases, obtaining deposits, and assisting with rental applications and credit verification.
  • For California only: Review all completed move-in files prior to submission to the Community Manager for review and approval.

Requirements

  • Bachelor’s degree in Business Management, Communications, or related field from an accredited college or university is preferred.
  • 1-3 years of relevant experience in residence life and/or property management, demonstrating community management, sales, marketing, and customer service skills.
  • Understanding of lease terms and lease enforcement, including collections.
  • Excellent written and verbal communication skills.
  • Detail-oriented, self-motivated, and able to work independently or as part of a team.
  • All required licenses and/or certifications as mandated by State and Local jurisdictions.
  • Valid driver’s license to drive a golf cart on property.
  • Proficiency in Internet, word processing, spreadsheet, and database management programs.
  • Strong proficiency in property management software (Yardi, OneSite, Entrata, etc.).

Travel / Physical Demands

  • Work in an office environment with frequent exposure to outside elements where temperature, weather, odors, and/or landscape may be unpleasant or hazardous.
  • Ability to physically access all exterior and interior parts of the property and amenities.
  • Ability to push, pull, lift, or maneuver weights of up to 20 pounds independently and 50 pounds with assistance.
  • Routine local travel may be required for bank deposits, training, or other daily responsibilities.
  • Occasional travel may be required for business meetings or training programs.
