Job Description
This role supports and assists the Community Manager in overseeing and managing the financial and operational facets of the community by completing accounting and bookkeeping tasks, preparing monthly close-out and financial reports, processing invoices for payment, collecting rent, fees, and other payments, completing bank deposits, dispositions, and account reconciliations, and using the property management software to record, track, and report on all financial workings of the community.
Completes the Daily Transactions
- Collects and posts rent, fees, and other payments
- Prepares daily bank deposits and reconciles bank accounts
- Prepares financial reports
- Processes invoices and payables
Uses Property Management Software
- Enters all required fields correctly in Yardi/OneSite
- Completes updates and back-ups to ensure the integrity of the system
Reviews Resident Files and Accounting Records
- Determines unpaid and/or late fees owed
- Communicates with residents regarding outstanding balances
- Implements procedures for collecting on delinquencies
- Enforces the lease to maximize revenue
Manages Vendor Invoices
- Reconciles work performed or products purchased
- Obtains community manager approval
- Codes charges to appropriate Chart of Account codes
- Manages communication between the vendor/contractor, accounting, and the client/owner as needed
Supports Eviction Procedures
- Fulfills proper notice requirements
- Evicts residents
- Represents the community as required in court hearings and eviction proceedings
Processes Move-Outs
- Reviews lease terms and notice requirements
- Applies appropriate deposit and lease cancellation fees, if applicable
- Processes the disposition in accordance with established procedures and legal requirements
Promotes Resident Satisfaction and Retention
- Responds to complaints, questions, and requests in a timely manner
- Takes appropriate action to resolve and address service issues
Assists Community Manager in Absence
- Organizes and delegates daily work
- Collaborates with the maintenance supervisor to coordinate maintenance and make-ready tasks
- Manages the operation of the community in compliance with Company policies, procedures, and business practices
Supports Leasing and Marketing Efforts
- Greet prospective residents
- Gather information about the prospect via the Guest Card
- Show ready apartments and models
- Assist the prospective resident in completing the rental application and credit verification
BASIC KNOWLEDGE & QUALIFICATIONS
- Bachelor’s degree in Business Management, Communications, or related field from an accredited college or university
- 1-3 years minimum of relevant experience in residence life and/or property management that demonstrates the application of community management, sales, marketing, and customer service background sufficient to assist in managing the day-to-day operations of an apartment community, resolve customer complaints and issues, complete financial records, documents, and reports, increase sales revenues, and coordinate the work of a team
- Understanding of lease terms and lease enforcement, including collections
- Excellent written and verbal communication skills
- Detail-oriented and self-motivated with the ability to work independently and as a collaborative member of a team
SPECIALIZED SKILLS
- Incumbents must have all licenses and/or certifications as required by State and Local jurisdictions
- Incumbents must have valid driver’s license to drive a golf cart on property
- Demonstrated proficiency in Internet, word processing, spreadsheet, and database management programs in order to complete required reports and documents
- Strong proficiency in using property management software (Yardi, OneSite, Entrata, etc.)
