Assistant Community Manager - Kendall Ridge

About the role
The Assistant Community Manager supports and assists the Community Manager in overseeing and managing the financial and operational facets of the community. This role involves completing accounting and bookkeeping tasks, preparing monthly close-out and financial reports, processing invoices for payment, collecting rent and fees, completing bank deposits, and using property management software to record and report financial activities.
Responsibilities
- Collect and post rent, fees, and other payments; prepare daily bank deposits and process invoices and payables.
- Stay up to date on rent assistance policies and programs from federal, state, and local governing offices.
- Assist the leasing team in touring apartments with prospects, both virtual and in-person.
- Review and submit invoices from vendors, contractors, and service providers for payment.
- Process resident move-outs by reviewing lease terms and notice requirements, and processing dispositions in accordance with established procedures and legal requirements.
- Respond to resident questions, concerns, and requests in a timely manner, resolving service issues as needed.
- Partner with the on-site office and marketing teams to create safe, socially distanced activities and events for residents.
- Act as the on-site supervisor in the absence of the Community Manager.
- Complete daily transactions and tasks related to the financial operation of the community, including reconciling bank accounts and preparing financial reports.
- Operate property management software (Yardi/OneSite) to ensure data integrity through correct data entry, updates, and back-ups.
- Review resident files and accounting records to determine unpaid or late fees, communicate with residents regarding outstanding balances, and enforce lease terms to maximize revenue.
- Follow established procedures related to evictions, including proper notice requirements and representing the community in court hearings.
- Promote resident satisfaction and retention by addressing complaints and service issues promptly.
- Organize and delegate daily work, coordinate maintenance and make-ready tasks with the maintenance supervisor, and manage community operations in compliance with company policies.
- Assist in managing the client/owner relationship by conducting community tours, providing performance updates, and responding to owner requests.
- Support leasing and marketing efforts by greeting prospective residents, gathering information, showing apartments, closing leases, and assisting with rental applications and credit verification.
- For California: Review all completed move-in files prior to submission to the Community Manager for approval.
Requirements
- Previous property management experience is required; fee management experience preferred.
- Proficient in MS Office Suite; experience with Yardi/OneSite software is highly desired but not required.
- Financially savvy with experience in creating/adhering to budgets and fiscal reporting.
- Excellent communication skills, both written and verbal.
- High level of professionalism in manner and dress.
- High school diploma or equivalent; professional knowledge of business discipline is required.
- Bachelor’s degree in Business Management, Communications, or a related field from an accredited college or university.
- 1-3 years of relevant experience in residence life and/or property management, demonstrating community management, sales, marketing, and customer service skills.
- Understanding of lease terms and lease enforcement, including collections.
- Detail-oriented, self-motivated, and able to work both independently and collaboratively.
Skills
- All licenses and/or certifications required by state and local jurisdictions.
- Valid driver’s license to drive a golf cart on property.
- Demonstrated proficiency in internet, word processing, spreadsheet, and database management programs.
- Strong proficiency in using property management software (Yardi, OneSite, Entrata, etc.).
Schedule
This role primarily operates in an office environment but may require frequent exposure to outside elements. Team members must be able to physically access all parts of the property and amenities, including pushing, pulling, lifting, or maneuvering weights of up to 20 pounds independently and 50 pounds with assistance. Routine local travel may be required for bank deposits, training, or other responsibilities. Rare or occasional travel may be necessary for business meetings or training programs.
Pay
The hourly range for this position is $26.75 - $28.75. Additional compensation may include participation in weekly, monthly, or quarterly bonus programs based on individual and company performance.
