About the Role

This role supports and assists the Community Manager in overseeing and managing the financial and operational facets of the community. Responsibilities include completing accounting and bookkeeping tasks, preparing monthly close-out and financial reports, processing invoices, collecting rent and fees, completing bank deposits and reconciliations, and using property management software to record and report financial activities.

Responsibilities

  • Complete daily financial transactions, including collecting and posting rent, fees, and other payments, preparing bank deposits, reconciling bank accounts, and processing invoices and payables.
  • Operate property management software (Yardi/OneSite) to enter transactions, complete updates, and perform back-ups to ensure system integrity.
  • Review resident files and accounting records to identify unpaid or late fees, communicate with residents about outstanding balances, implement collection procedures, and enforce lease terms to maximize revenue.
  • Review and submit vendor, contractor, and service provider invoices for payment by reconciling work performed or products purchased, obtaining manager approval, and coding charges to the appropriate Chart of Account codes.
  • Follow established eviction procedures, including proper notice requirements, evicting residents, and representing the community in court hearings and eviction proceedings.
  • Process resident move-outs by reviewing lease terms, applying deposit and lease cancellation fees, and completing dispositions according to legal requirements and company procedures.
  • Promote resident satisfaction and retention by responding to complaints, questions, and requests in a timely manner and resolving service issues.
  • Act as the on-site supervisor in the absence of the community manager by organizing daily work, coordinating maintenance tasks, and managing community operations in compliance with company policies.
  • Assist in managing client/owner relationships by meeting with owners, conducting community tours, providing performance updates, and responding to owner requests.
  • Support leasing and marketing efforts by greeting prospective residents, gathering prospect information, showing apartments, closing leases, and assisting with rental applications and credit verification.
  • For California only: Review all completed move-in files prior to submission to the Community Manager for approval.

Requirements

  • 1-3 years of relevant experience in residence life and/or property management, demonstrating community management, sales, marketing, and customer service skills.
  • Understanding of lease terms and lease enforcement, including collections.
  • Excellent written and verbal communication skills.
  • Detail-oriented, self-motivated, and able to work independently or as part of a team.
  • Valid driver’s license to operate a golf cart on property.
  • Proficiency in internet, word processing, spreadsheet, and database management programs.
  • Strong proficiency in property management software (Yardi, OneSite, Entrata, etc.).
  • Ability to physically access all parts of the property and amenities, including pushing, pulling, lifting, or carrying up to 20 pounds independently and 50 pounds with assistance.

Travel & Physical Demands

  • Work in an office environment with frequent exposure to outside elements, including temperature, weather, odors, and/or landscape conditions.
  • Routine local travel may be required for bank deposits, training, or other daily responsibilities.
  • Occasional travel may be required for business meetings or training programs.

Pay

The hourly range for this position is $20.00 - $21.00.
