Assistant Community Association Manager

Job Overview

Aid and support the property manager, the management team, the board, and community residents for the assigned property. Ensure the property is maintained and operated according to company objectives and resolve operational issues.

Responsibilities

  • Acquire and maintain knowledge of state regulatory statutes and community documents, policies, and procedures.
  • Perform annual property inspections.
  • Coordinate insurance requirements and vendors.
  • Schedule and conduct board meetings.
  • Draft and produce meeting minutes.
  • Upload association documents to websites.
  • Handle call center inquiries and account ledger questions.
  • Order and reconcile P-card purchases.
  • Complete annual violation inspections and address reported concerns.
  • Handle AP clearing items.
  • Record daily POS transactions and provide to Data Entry.
  • Record and deposit checks received to the bank.
  • Handle mailings to the Hollywood office.
  • Approve specific items in AVID.
  • Reconcile and pay taxes monthly.
  • Facilitate appeals from denied ARC projects.
  • Absorb new associates (email, Connect access, POS access, name tags, business cards).
  • Set up new vendors (W9, COI, submit through Zendesk).
  • Handle incident report submissions to agent.
  • Absorb missed punch reports from the team.
  • Assist in preparing monthly reports.
  • Assist in developing operating and capital budgets.
  • Create a positive interaction culture among management team members.
  • Follow safety procedures and maintain a safe work environment.
  • Assume other duties as directed by the Community Association Manager.

Skills & Qualifications

  • Bachelor's degree (B.A. or B.S.) in Business or related field from a four-year college or university, or equivalent combination of education and experience.
  • CAM license required.
  • Strong managerial background.
  • Two (2) years of experience as an on-site manager managing property or building operations.
  • Strong working knowledge of customer service principles and practices.
  • Ability to read, analyze, and interpret technical procedures, leases, regulations, or documents.
  • Strong interpersonal skills.
  • Computer literacy: Proficiency and working knowledge of Microsoft Office Applications.

Physical Requirements

  • Ability to lift up to 50 lbs.
  • Standing, sitting, walking, and occasional climbing.
  • Talking on the phone for extended periods.
  • Ability to detect auditory and/or visual emergency alarms.
  • On-call 24/7.
  • Ability to work extended/flexible hours and weekends.
  • Driving when necessary.
  • Ability to respond to emergencies in a timely manner.

Schedule

Monday - Friday, 9:00am – 6:00pm, flexibility as needed.
