General Description

The Assistant Center Manager provides administrative program support for the Center Manager and assists in maintaining the daily operations of the center and adhering to DCF, APPLE and Head Start regulations.

Major Responsibilities

  • Aid the Center Manager with the day-to-day operations of the center.
  • Promote a culturally sensitive educational program that is developmentally appropriate for each child’s age and language.
  • Ensure classrooms meet the standards for high-quality learning environments.
  • Support teachers in curriculum implementation, child observations, and analysis of child data.
  • Aid with scheduling and maintaining sufficient number of staff to meet the center’s needs.
  • Maintain complete and accurate staff files that adhere to DCF regulations, including TB, physicals, DCF hours, credentials, annual training hours, background screenings, etc.
  • Cook up and maintain all records for the USDA food program at the center.
  • Track inventory and coordinate purchases for the center, including food service supplies, office supplies, program supplies, diapers & wipes, and health supplies.
  • Maintain center petty cash fund and completes monthly reconciliation reports.
  • Keep office area neat and organized. Maintain clean, inviting space for visitors.
  • Greet staff, parents, and visitors upon arriving and departure from the center. Give prompt and courteous attention.
  • Answer the phone. Give accurate and pertinent information.
  • Maintain system for classroom records.
  • Aid in data entry of staff records and classroom and child assessments.
  • In collaboration with the Center Manager and Family Advocate, prepare and distribute monthly center newsletter.
  • Participate in the daily maintenance of the site. Follow procedures for reporting maintenance needs in a timely manner.
  • Aid in classroom support and modeling of appropriate interactions as needed.
  • Complete administrative tasks, such as monthly food forms, health and safety checklists and documentation, and attendance tracking logs.
  • Aid the Center Manager in handling parent concerns in a timely and professional manner. Be solution-minded. Document all concerns by emailing a summary the same day to the Center Manager.
  • Provide guidance to staff to ensure ongoing compliance with DCF licensing regulations, ECS policies and procedures, and accreditation standards.
  • Aid in planning and conducting monthly staff meetings.
  • Aid in the training of new staff to ensure the mission, policies, and procedures of ECS are thoroughly understood.
  • Aid the Family Advocate in maintaining an informative Parent Board. Keep information up-to-date and relevant for parents.
  • Calculate Non-Federal Share monthly and submit center NFS report to Lead FA.
  • Continue to pursue education and/or professional development goals.
  • Perform other job-related functions as required.

Organizational Relationship

This position reports to the Center Manager.

Education and Experience

  • Associates degree preferred with 1-3 years related administrative experience required
  • Director’s Credential; VPK endorsed preferred or obtain within 1st year of employment

Certifications

  • Complete TB screening before having direct contact with children. Renew every 2 years.
  • Commence within ninety (90) days and complete within 12 months of employment the DCF required 45-hour training, if applicable.
  • Complete on-line Food Handlers course Serving Safe Food in Childcare within 90 days of employment.
  • Must have current First Aid and Pediatric Cardiopulmonary Resuscitation (CPR) training.
  • Complete a minimum of 25 hours of in-service training annually, July 1- June 30.

Works inside in a child care setting

Essential Physical Skills

  • Acceptable eyesight (with or without correction)
  • Acceptable hearing (with or without correction)
  • Ability to communicate both orally and in writing
  • Ability to lift up to 50 lbs.

Background Requirements

A Level II Background Screening which consists of a local, state, and federal criminal check will be completed on all employees and any contracted employee position, intern position or volunteer position in which individuals have contact with children, have access to confidential information and / or are in a position of special trust.
