About the role

The Art Fair Inventory Coordinator assists with the inventory and shipping aspects of domestic and international art fairs. Reporting to the Art Fairs Manager, this role involves coordinating transfers of art fair inventory between the galleries and the warehouse, obtaining crating and shipping estimates, and overseeing shipments. The position requires a keen attention to detail and the ability to manage multiple tasks in a fast-paced environment.

Responsibilities

  • Regularly review art fair inventory to flag framing, conservation, and crating needs.
  • Work with the New York Inventory team to coordinate transfers of art fair inventory between the galleries and the warehouse.
  • Obtain crating and shipping estimates; oversee domestic and international art fair shipments and prepare packing lists, proformas, and other shipping documents.
  • Condition check select artworks and assemble collections requiring condition checking by registrars.
  • Assist the Art Fairs Director and Manager with uploads of images into condition reports.
  • Coordinate with Production and Registration teams to ensure fair inventory is exhibition-ready.
  • Update database with crate costs and dimensions; track and maintain database locations.
  • Electronically file shipping documents, BOLs, and AWBs.
  • Update internal calendars and shared documents with shipping dates.
  • Track shipping costs and maintain budgets.
  • Handle ad hoc projects as needed.

Requirements

  • A Bachelor’s degree in Art History or Arts Administration is preferred.
  • Strong attention to detail and ability to manage multiple projects simultaneously.
  • Experience in inventory management, registration, or art shipping is required.

Qualifications

  • BA (Art History or Arts Administration preferred).
  • Previous experience in inventory management, registration, or art shipping.

  • Diligent and organized.
  • Excellent time management and communication skills.

Pay

$60k - 65k annual salary; paid hourly, overtime eligible.

Schedule

Monday-Friday, 10am to 6pm. Occasional additional hours may be required.
