Support and assist the Sales Departments at assigned hotels with the management and maintenance of corporate accounts, group business, and meeting facilities. This role delivers a high level of customer service and operational support to both external clients and internal partners, serving as a key liaison between the Sales Department and other hotel departments across both properties.
Locations: Garner Hotel - Totowa, NJ and Garner Hotel - North Bergen, NJ
Responsibilities
- Be one of the first points of contact for incoming sales calls, responding quickly, timely, and professionally to all internal partners and external customers.
- Deliver clear and concise communication representative of the brand via all avenues.
- Demonstrate excellent time management, self-motivation, proactive planning, and keen attention to detail.
- Complete assigned tasks and responsibilities, including but not limited to:
- Assisting with or managing room blocks, reporting, and client notifications (e.g., cut-off dates, payment deadlines).
- Handling group resumes, event orders, BEOs, billing details, and other administrative aspects of booking or executing groups and events.
- Manage pre-event, main event, and post-event details:
- Track, detail, and communicate event/group particulars to internal partners and external clients.
- Gain knowledge of hotel food and beverage products, pricing, presentation, and function space details (e.g., audio-visual requirements).
- Learn and use digital sales systems (e.g., Delphi, Opera PMS) and understand hotel sales strategies (e.g., rates, fees, budgeted goals).
- Prepare for, participate in, and report out at internal meetings, conference calls, planning sessions, and training.
- Work collaboratively and embody an entrepreneurial spirit to achieve team goals.
- Monitor commissions and provide monthly reports to accounting.
- Create and manage Company and Travel Agent profiles in the property management system.
- Review sales contracts, room blocks, cut-off dates, special concessions, and attrition clauses for validation.
- Monitor and enforce program deadlines, releasing unneeded meeting space to maximize hotel revenues.
- Produce and distribute Group/Meeting resumes two weeks prior to group arrival, communicating updates to hotel departments.
- Accurately forecast group rooms and food and beverage revenues within a 5% variance.
- Perform other duties as assigned by management at both properties.
- Send hotel information to guests inquiring about the property.
- Work with clients to coordinate functions.
- Send group room contracts to clients within 8 hours of inquiry and follow up to ensure timely return.
