Assigned Primary Purpose
Under moderate supervision, organize and manage the Special Programs files, ARD scheduling, and provide clerical support to a director or department head and other staff members.
Qualifications
- Education/Certification: High school diploma or GED
- Special Knowledge/Skills: Pro?cient skills in keyboarding, data entry, word processing, and electronic ?le maintenance
- Ability to use software to develop spreadsheets and databases and do word processing
- Ability to prioritize work?ow to address the multiple needs of the supervisor or the department
- Ability to multi-task numerous complex administrative activities
- Basic math skills
- E?ective communication and interpersonal skills
- Experience: 2 years secretarial experience and/or experience in Special Education (preferred)
Major Responsibilities And Duties
- Prepare correspondence, forms and reports for the department head and other department staff
- Compile, maintain, and ?le all reports, records, and other documents electronically
- Compile and crosscheck reports in Infinite Campus, X-LOGS and Frontline
- Maintain inventory of o?ce supplies and programs
- Schedules or assists, ARD meetings and notifies parents of ARD meeting, including distribution of ARD calendar to appropriate ARD member(s)
- Answer and respond to incoming calls, take reliable messages, and route to appropriate staff
- Maintain the ARD schedule for all campuses including, but not limited to, initial or rescheduled ARD meetings or other meetings
- Make meeting arrangements for department activities including preparing materials, schedule and setting up facilities, and arranging equipment (as needed)
- Receive, sort, and distribute mail and other documents to department
- Maintain confidentiality of information
- Follow district safety protocols and emergency procedures
- Send parent surveys after meetings
- Review and crosscheck ARD

Mental Demands/Physical Demands/Environmental Factors
- Tools/Equipment Used: Standard o?ce equipment including personal computer and peripherals
- Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting
- Motion: Repetitive hand motions including frequent keyboarding and use of mouse; occasional reaching
- Lifting: Occasional light lifting and carrying (less than 15 pounds)
Environment: May work prolonged or irregular hours; occasional districtwide travel
Mental Demands: Work with frequent interruptions; maintain emotional control under stress
