About the role

Case Western Reserve University is seeking an experienced Enterprise Content Management (ECM) specialist to design and coordinate the implementation of flexible, robust ECM frameworks across multiple university business units. The ideal candidate will also analyze and improve performance of solutions, define technical architecture, and collaborate with other divisions to establish business requirements.

Responsibilities

  • Create integration and migration solutions between OnBase and core university systems.
  • Work with stakeholders in business and operations to collect, document, analyze, implement, and maintain business and system requirements.
  • Design and deliver high-quality, high-impact ECM and Hyland OnBase solutions.
  • Participate in software architecture and system-level design, including document imaging, lifecycle management, and capture processes.
  • Work with developers and business systems analysts on detailed complex designs.
  • Coordinate assigned work with other team members.
  • Review project deliverables for conformance to established standards.
  • Create test plans, procedures, and any necessary scripts.
  • Test and debug applications in conjunction with others and develop processes for correction of erroneous data.
  • Assure solutions meet university quality and compliance standards.
  • Create appropriate technical and operational documentation.
  • Conduct regular internal system audits and prepare the application platforms and clients (Core, Unity, Web) for system upgrades.
  • Perform complex application administration, configuration (including Workflow and WorkView), integration, installation of new application releases, ongoing maintenance, and application patching.
  • Maintain the reliability, availability, and performance of ECM application environments.
  • Work in partnership with multiple technical teams to ensure smooth releases.
  • Work with staff to ensure adherence to prevailing best practices when performing analysis, writing documentation, and testing components and integrations.
  • Proactively contribute to strategic planning of application conversions and legacy document migrations.
  • Evaluate technology alternatives, particularly regarding Third-Party application options, and determine and resolve issues.
  • Propose viable solutions to business problems/requests, communicate effort involved in development work, and follow project management standards and the software development life cycle (SDLC).
  • Maintain expertise for all OnBase platform integrations (e.g., ERP, Student Information Systems) and data management solutions.
  • Provide technical support including analyzing, troubleshooting, and resolving complex problems across OnBase clients and application servers.
  • Assist in training new users and growing ECM and document management skill sets across the university, promoting adoption and supporting digital transformation initiatives.
  • Provide consultation to business and operations stakeholders in their development of training and operational documentation pertaining to OnBase workflows and usage.

Requirements

Hyland OnBase development and administration experience required. Bachelor's degree in computer science, information technology, or a related field. Hyland OnBase certifications preferred (e.g., OCSA, OCWA, OCWV, Advanced Workflow/API certifications).

Qualifications

  • 7 to 10 years of progressive IT experience.
  • Expert understanding of Hyland OnBase.
  • Mastery of systems analysis, including business process mapping, document taxonomy, and entity relationship analysis tools and methods.
  • Mastery of systems design principles, methodologies, and tools, including those applicable to on premises and web-based environments as well as cloud/hybrid hosting.
  • Mastery of technical project management support for technical cross-functional projects of significant scope, complexity, size, impact, budget, and/or project team size.
  • Working experience with database design, Oracle Server, SQL Server (T-SQL), data integrations, and scripting/programming languages (such as C#, .NET, Unity API, VBScript, or JavaScript).
  • Familiarity with OnBase modules such as Mailbox Importer, Visual Studio, Intelligent Capture, WorkView, Workflow, and API integrations with higher education enterprise systems (e.g., PeopleSoft, Banner) and integrations middleware (e.g., Talend, Skyvia).
  • Knowledge of and/or ability to learn cloud-based software as a service, enterprise storage systems (SAN/NAS), advanced virtualization, master data management, and ETL software.
  • Knowledge of and/or ability to learn integration middleware is desirable.
  • Knowledge of applicable business area and related regulations, policies, and procedures (e.g., FERPA, HIPAA where applicable to document retention).
  • Excellent English oral and written communication skills, with the ability to communicate effectively and engage with a varying user base having varied levels of technical proficiencies.
  • Strong inter-personal skills, conflict resolution, and negotiating skills.
  • Ability to understand and use professional project management concepts and apply ITIL/SDLC policies and procedures in managing assignments.
