Key Responsibilities
- CRM & Systems Administration
- Provide oversight and accurate maintenance of CRM platforms and supporting systems
- Serve as primary administrator of ALTRU and related API platforms – Xtrulink and Omatic
- Maintain functional system configuration, structure, and documentation
- Oversee imports, exports, integrations, and data migrations in coordination with IT for technical changes
- Identify and implement system improvements to increase efficiency and usability
- Liaise with IT/digital staff and external vendors for functional system support; escalate technical or infrastructure-related needs as appropriate
- Support CRM training skill development across the organization
- Escalate technical issues appropriately while maintaining continuity of operation
- Data Integrity & Governance
- Ensure accurate record-keeping through regular review of transactions and duplicate reports, daily sales reports, credit card transaction reports, and resolution of data issues
- Maintain donor, member, visitor, and program participant records
- Establish and enforce data entry standards and protocols
- Conduct regular audits and data clean-up initiatives
- Identify and implement methods for continual improvement in database use and data management practices
- Ensure compliance with privacy, confidentiality, and security standards
- Development & Membership Data Support
- Ensure accurate tracking of gifts, pledges, campaigns, and memberships
- Support prospect management through recording donor interactions, creating prospect profiles, and conducting wealth screenings
- Generate mailing lists with constituent segmentation for appeals and donor stewardship
- Aid in donor recognition and stewardship tracking
- Process and deliver membership cards (printed and digital)
- Provide regular reports and analysis to the Chief Development Officer to support strategic goals and board communication
- Campaign & Fundraising Operations
- Design and maintain campaign data structures and tracking systems
- Track pledges, payment schedules, and gift restrictions
- Support prospect pipeline and portfolio management
- Produce campaign dashboards and progress reports
- Partner with consultants and leadership on data preparation
- Reporting & Analytics
- Generate reports, support analysis, and identify trends for Development, Finance, Education, Marketing, and Leadership to inform strategy
- Support forecasting, KPIs, and performance measurement
- Translate data into actionable insights
- Ensure reconciliation with Accounting/Finance
- Systems Continuity & Digital Coordination
- Cross-Departmental Collaboration
- Partner with Accounting/Finance to align gift and revenue coding and support revenue reconciliation and receivables
- Collaborate with Marketing & Communications on segmentation and lists
- Support Membership, Visitor Services, and Programs teams with Altru and Xtrulink processes and functions
- Improve interdepartmental data flows and practices
- Support special event revenue tracking and reconciliation through cross-system integration and inter-departmental processes
- Cook up with IT/Digital to align CRM and institutional systems infrastructure
- Systems & Workflow Optimization
- Improve consistency and automation of processes
- Develop and maintain documentation and procedures
- Train staff on CRM best practices
- Identify and implement methods to streamline data and information sharing
- Maintain working knowledge of core platforms and workflows to ensure continuity during planned or unplanned staff absences
- Support documentation of systems, processes, and access protocols to reduce single points of failure
- Chief Development Officer & Foundation Support
- Provide structured coordination support to the Chief Development Officer
- Support committee and board meetings as needed
- Support donor and campaign-related meeting logistics
- Experience administering CRM/database systems (ALTRU or other Blackbaud systems strongly preferred), or demonstrated ability to learn and manage complex systems
- Expertise in data integrity, including data hygiene and quality assurance
- Advanced computer literacy, including strong proficiency in Excel, operating systems, and the ability to troubleshoot issues
- Advanced spreadsheet skills (Excel or equivalent), including formulas, pivot tables, and macros
- Experience generating reports and analytics, data modeling, segmentation, and dashboards to support decision making
- Strong systems and workflow orientation, knowledge and skills in using AI to improve workflow a plus
- Excellent analytical, problem-solving, and organizational skills
- Comfortable working collaboratively across departments, with strong communication skills
- High attention to detail, accuracy, and organization

- Understanding of data security standards and data governance and compliance practices
