About the Role

This role provides essential support to the Travel & Entertainment (T&E) and Insurance Manager, ensuring the effective and compliant operation of T&E and insurance processes. The individual serves as a primary point of contact for Concur inquiries, collaborates with external partners, and assists with T&E policy enforcement and process improvements. Key responsibilities include managing insurance claims, auditing expense reports, supporting special projects, generating and analyzing T&E data, and providing training and guidance to employees.

Responsibilities

  • T&E:
    • Serve as the primary point of contact for Concur-related questions, issues, and escalations.
    • Act as a liaison with external vendors, such as travel agencies and credit card providers, to resolve issues and optimize service delivery.
    • Assist with ensuring travel and expense submissions follow internal corporate policies and procedures.
    • Contribute to identifying and implementing process improvements to enhance efficiency, compliance, and user experience within T&E processes.
    • Generate and analyze T&E data and reports to identify spending patterns, policy adherence, potential cost savings, and areas for process improvement.
    • Lead or support special projects related to travel and expense.
    • Assist with auditing expense reports.
    • Provide training and guidance to employees on Concur usage and T&E policies.
    • Assist in the communication of T&E policy updates and changes to employees.
    • Maintain accurate records and documentation for all T&E activities.
  • Insurance:
    • Submit and manage insurance claims, acting as a liaison between various internal teams, brokers, and brands to ensure timely and accurate submission, including gathering documentation, tracking claim status, and facilitating communication.
    • Support the timely preparation and delivery of Certificates of Insurance (COIs) for landlord requirements.
    • Lead or support special projects related to insurance.
    • Maintain accurate records and documentation for all insurance-related activities.
    • Collaborate with the accounting department on month-end or year-end close activities related to insurance expenses.

Requirements

  • Bachelor’s degree required.
  • Minimum of 2-3 years of relevant experience.
  • Proficient in Microsoft Office Suite, particularly Excel.
  • Experience with Concur is a plus.
  • Excellent written and verbal communication, interpersonal, and customer service skills.
  • Strong organizational skills with the ability to manage multiple priorities, meet deadlines, and work effectively both independently and as part of a team.
  • Detail-oriented with a strong commitment to accuracy and compliance.
  • Ability to travel to NYC and other domestic locations may be required on occasion.
