About the Role

The AI Automation Specialist is responsible for designing and building AI-powered tools that solve real operational problems within the company's internal operations. This role focuses on rapidly delivering practical solutions rather than research or model training. It involves transforming operational challenges into effective AI tools, iterating on solutions based on user feedback, and ensuring clear documentation and handoff. Over time, the role may expand to include building AI features for the organization's clients.

Responsibilities

  • Participate in weekly intake sessions to identify operational inefficiencies.
  • Translate vague operational problems into concrete AI-powered solutions.
  • Design, build, and iterate on internal AI tools using APIs and automation platforms.
  • Develop dashboards, bots, and reporting tools integrated with existing systems.
  • Deliver working prototypes quickly and refine them based on team feedback.
  • Produce detailed runbooks for each tool describing functionality, integration points, and troubleshooting.
  • Train team members on the use of developed tools.
  • Support future expansion into AI solutions for clients.

Requirements

  • Proven experience building and deploying AI-powered tools with demonstrable examples.
  • Proficiency with Claude and Gemini APIs, prompt engineering, and integrating AI with business data.
  • Expertise in agent and workflow design, including multi-step flows and orchestration.
  • Experience creating maintainable connectors between AI models and internal systems.
  • Skills in prompt evaluation and regression testing to measure improvement.
  • Understanding of token and API cost management.
  • Familiarity with HubSpot, monday.com APIs, and Google Apps Script.
  • Competence in Python and JavaScript for building custom tools, including handling API authentication and rate limits.
  • Ability to collaborate with non-technical stakeholders to translate business needs into technical solutions.
  • Capability to work efficiently and deliver initial versions of tools in ambiguous environments.

Preferred Qualifications

  • Experience working with small businesses, agencies, or online education companies.
  • Background in developing dashboards or reporting tools integrating payment or CRM systems.
  • Proven track record of independent projects demonstrating initiative.
