Advancement Operations Data Manager
Job Summary
The Advancement Operations Data Manager supports the Advancement team primarily to ensure gifts are correctly carried and receipted in database, oversee the good integration of software tools used in processes, provide giving reports on all sectors and provide insights and proposals for improving processes - primarily in the management of data and best tools. They sit on the Advancement Leadership Team and assist the SVP of Advancement with giving trend data and analysis. They also give oversight to Data Services and the best use of our CRM.

Essential Functions
- For the Advancement Team:
- Provide data support to help Advancement meet the agreed upon 3-, 6-, and 12-month goals according to our strategy and plans, and make recommendations and modifications to data-related operational processes to achieve those goals.
- Participating in the fiscal year budget process, and providing data in the forecast development process
- Meeting with outside vendors and third parties virtually or in person that are providing data related services currently or will be providing services in the future. Making recommendations to the SVP of Advancement.
- Providing oversight on the best use of the CRM and seeing to it that data in and out is kept up to date. Establishing and holding the team to standards of best practices with the CRM. This includes but is not limited to the development of: Consistent constituent coding structures, Clear business data rules, tagging and tracking, Ownership of data governance and privacy, Standardized naming conventions, Reliable integrations between systems, Ongoing cleanup processes, Overseeing the efforts related to constituent data analysis, automations, and data cleaning
- Ensure that all gifts are entered correctly into the Advancement data base, and assisting in the tabulation and review of giving and giving trends on a monthly and YTD basis and making operational and process suggestions for fine tuning based on trends.
- Providing operational support for the data side of Events including the resourcing of the Project Managers, interfacing with Event Planners (as appropriate), and logistical support.
- Assisting with data-related pulls and queries as needed by Marketing for various appeals and multi-channel marketing efforts. - Other Departments:
- Interfacing with Donation Processing to assure smooth transfer of data into CRM, and accurate receipting and records.
- Interfacing with Finance related to correlation of common data.
- Interfacing with IT; overseeing the licensing, renewal and internal usage of software packages and tools and leading efforts in upgrades to new versions. - Support and Assist Senior VP of Advancement with:
- Assimilating data related to the yearly Position Review Process, preparing data reports, and reviewing process improvements.
- Oversight of Third-Party Software Vendor relationships including contracts, renewals and reviews
- Oversight of Special Short-Term Projects as assigned by SVP of Advancement
- In conjunction with Data Services - automate reports and dashboards that Ambassadors can use to monitor giving, moves, relationships and that can also be used to track key Advancement KPI
- Assist in managing Advancement budget requests and expenses related to data management and tools.
- Participate in Event Project Meetings from a data flow perspective.
- Support SVP of Advancement on continuous process improvement, including investigating technology/software, if appropriate
Education and Experience
- Education: Possess a bachelor's degree
- Experience: A minimum of 3 to 5 years of related work experience in a fundraising environment, and experience maintaining a data base and providing operational support. Non-profit experience not required but helpful. Excellent organizational, project and process management skills. Experience working with CRM Database Software and Project Management Software a plus.
