About the role
Banyan Treatment Centers is seeking a hard-working and driven Admissions Coordinator to join our team. As the first point of contact for individuals seeking life-changing treatment, you will play a critical role in guiding patients and families through the admissions process with professionalism, empathy, and expertise—while keeping the pace, accuracy, and urgency that admissions demands.
Responsibilities
- Patient Communication & Engagement
- Respond to inbound calls, chat inquiries, and emails from individuals seeking treatment.
- Provide clear, supportive guidance regarding Banyan’s programs and the admissions process.
- Maintain compassionate and professional communication when assisting individuals and families in urgent or emotional situations.
- Clinical Pre-Screening & Intake Support
- Conduct initial clinical pre-screening to help determine appropriate levels of care.
- Gather accurate patient information and ensure all required details are documented.
- Collaborate with admissions and clinical teams to support appropriate placement and a smooth intake experience.
- Insurance Verification & Documentation
- Verify insurance benefits and review private pay options when needed.
- Complete accurate data entry across multiple systems and platforms.
- Maintain organized records and ensure required documentation is collected to support timely admissions.
- Collaboration, Accuracy & Compliance
- Work collaboratively with internal departments to ensure seamless coordination and patient transitions into care.
- Support a patient-first experience through attention to detail, follow-through, and clear communication.
- Uphold confidentiality and adhere to HIPAA standards in all interactions and documentation.
Qualifications
- High school diploma/GED or higher.
- Previous experience in healthcare, customer service, admissions, or behavioral health.
- Strong written and verbal communication skills with a high level of professionalism and attention to detail.
- Ability to multitask and stay accurate in a fast-paced, high-volume environment.
- Ability to remain calm and solutions-focused when supporting individuals and families in high-stress situations.
- Ability to maintain confidentiality and follow all HIPAA and regulatory guidelines.
Preferred
- Experience with Salesforce, CTM, Microsoft Outlook, and Microsoft Teams.
- Familiarity with verification of benefits (VOB) and insurance processes.
- Familiarity with Kipu EMR or similar electronic medical record systems.
- Familiarity with substance use treatment, recovery-based programming, or 12-step principles.
- Lived experience with recovery is valued.
