Provides administrative support for the region including financial closing of sales orders and month-end reporting. Reports to the Business Controller.
Responsibilities
- Process goods movements, progress billings, customer invoicing, coding account payables, and complete sales order closing within SAP.
- Ensure accuracy of information, compliance with policies, and appropriate approvals have been obtained where required; resolve discrepancies as needed.
- Collect past due accounts receivables and follow up to ensure acceptable payment arrangements are made and payment is received in a timely manner.
- Ensure the Company Credit Policy is adhered to; exceptions require senior management approval.
- Provide customers with documentation as per the terms and conditions of job contracts.
- Answer incoming phone calls promptly and professionally, ensuring proper response to customer needs and follow-up as necessary.
- Maintain job and customer files in accordance with established procedures, including statutory declarations, contract signatures, execution, filing, and uploading.
- Provide clerical support for regional personnel (Sales & Project Managers) as required.
- Support special projects as requested.
- Oversee and manage orders for all non-job-related costs (supplies, materials, miscellaneous equipment); indirect costs require appropriate management approval prior to purchasing.
- Maintain and manage safety documentation, customer tax documentation, and D&B reports.
- Generate system reports as required and abide by posting deadlines and month-end data entry deadlines to ensure accuracy.
- Participate in regional meetings as requested, prepared to discuss collection issues, project management administrative problems, and timely invoicing of projects.
- Responsible for year-end closing in accordance with the company timetable.
- Perform other duties as assigned.
Requirements
- Excellent interpersonal skills, well-organized, able to prioritize, and capable of handling a busy workload with multiple tasks.
- Ability to work with minimal supervision.
- Advanced skills in Microsoft Office, especially Excel.
Qualifications
- College degree in Accounting or Business Administration preferred; related experience may be considered.
- Experience with SAP (ERP system) is preferable.
