About the role
We are seeking a highly organized and proactive part-time, temporary Administrative Support Specialist to cover a maternity leave, starting immediately and running through the end of February. There's a possibility of extension for the right candidate!
Responsibilities
- Keep our office running efficiently—managing supplies, ensuring our Snack Club is stocked, maintaining communal areas, and assisting with room reservations (Skedda).
- Greet visitors, ensure meeting spaces are reset, assist with room setup/AV, and prep for larger events like the bi-monthly IBR Office Lunches.
- Provide daily support to a key executive, including constantly managing and updating dual calendars (IBR & WSP), coordinating travel, and processing expense reports and bills.
Requirements
- Exceptional organizational skills and a proactive, detail-oriented approach.
- Ability to manage multiple calendars and anticipate scheduling conflicts.
- Experience with travel booking (flights, trains, etc.) and processing expense reports.
- A friendly, professional demeanor for greeting team members and visitors.
Qualifications
- High school diploma or equivalent.
- One to two years of administrative support experience.
Skills
- Excellent organizational and time management skills.
- Proactive and detail-oriented approach.
- Experience with travel booking and expense report processing.
- Strong communication and interpersonal skills.
