Job Duties

  • Rotate reception duties with Customer Service Team
  • Admit and greet visitors and employees. Maintain check-in sheet.
  • Answer incoming calls using a multi-line switchboard and transfer as determined.
  • Mail management:
    • Visit post office weekly to retrieve mail.
    • Sort and distribute incoming mail and packages.
    • Mail outgoing packages via FedEx or USPS.
    • Organize, order, and maintain office supplies.
    • Absorb and distribute incoming emails.
    • Create daily and ad hoc reports.
    • Assist in updating email distribution lists.
    • Absorb and assist in multiple digital platforms (JB Hub, SevenFifty, GlobalWorx, GoSpotCheck, DiPA).
    • Handle customer administration including setting up new customer accounts, updating customer information, and performing customer depletion as necessary.
    • Track expired, suspended, and cancelled customer state alcohol permits daily. Perform routine manual permit checks monthly.
    • Enter holiday delivery schedules.
    • Assist Credit Manager with credit requests from chain customers by researching, collecting supporting documentation, and digitizing invoices.
    • Scan and index important confidential files and maintain the document management system.
    • Perform a wide variety of administrative duties as assigned.
    • Fill in and assist other team members as needed.

    Requirements

    • In office Monday - Friday, 8:00 am - 5:00 pm.
    • Associate/bachelor's degree preferred; High School Diploma required.
    • 2+ years of experience in customer service or an administrative/support position.
    • Effective written and verbal communication skills.
    • Advanced Microsoft Office skills (Word, Excel, PowerPoint, Outlook).
    • Detail oriented with strong organizational skills.
    • Fast and accurate typing skills.
    • Proficient with 10-key.
    • AS400/IBMi experience preferred.
    • Ability to multi-task and meet deadlines in a fast-paced work environment.
    • Effective problem-solving skills when encountering new and unique challenges.
