Responsibilities

  • Greet children and families with warmth and professionalism while assisting with check-in and general questions.
  • Answer incoming phone calls and emails promptly and professionally.
  • Schedule appointments and communicate appointment reminders and clinic information.
  • Maintain a clean, organized, and welcoming front desk, waiting area, and therapy spaces.
  • Organize, sanitize, and restock therapy toys, equipment, and supplies.
  • Upload, scan, label, and organize documents accurately within company systems.
  • Assist with filing, data entry, record management, and other administrative tasks.
  • Prepare therapy materials and assist with light crafting or project preparation as needed.
  • Run occasional errands for clinic supplies and operational needs.
  • Support therapists and administrative staff with daily clinic operations.
  • Follow established procedures while remaining flexible to changing priorities.
  • Maintain confidentiality and provide exceptional customer service to every family.
  • Perform other duties as assigned.

Requirements

Qualifications

  • High school diploma or equivalent required.
  • Previous administrative, receptionist, customer service, or clerical experience preferred.
  • Experience using Google Workspace (Google Docs, Sheets, Gmail, Calendar, and Drive) is strongly preferred.
  • Strong written and verbal communication skills.
  • Excellent organizational, time management, and multitasking abilities.
  • Comfortable learning new technology and software systems.
  • Ability to lift up to 25 pounds occasionally.
