About the role

Nakupuna Companies is seeking an Administrative Support Specialist to provide professional services to the program office leadership of PMS‑317, which manages a portfolio of weapon systems and capabilities under PEO Ships. The specialist will work closely with the Nakupuna Project Manager and support the Program Manager in a variety of administrative and coordination tasks.

Responsibilities

  • Assist in coordinating the Program Office calendars, creating travel orders, providing general administrative support, and administering general correspondence.
  • Provide support for drafting naval messages and official correspondence to enable the Program Manager to effectively communicate with the Fleet.
  • Support the development and writing of awards, letters of appreciation, and other items of recognition.
  • Assist in updating and maintaining Program Office instructions, policies, procedures, processes, and related documentation.
  • Generate and deliver technical letters and memoranda, including meeting agendas, meeting minutes, and drafting directives.
  • Schedule and coordinate meetings by generating agendas and announcements, attending meetings, arranging conference rooms, and tracking resolution of action items.
  • Coordinate, attend, and participate in staff meetings, stakeholder meetings, and all other program office meetings, including agenda preparation and action‑item tracking.
  • Support the Program Office in executing planned and emergent tasks such as drafting, coordinating, editing, archiving, and tracking status of programmatic, financial, and technical briefing packages, technical instructions, Congressional action items, audit responses, and external data requests.
  • Capture, document, manage, and promulgate program lessons learned.
  • Develop program spreadsheets and provide graphic support as required.
  • Work with the PEO Ships Command Information Officer (CIO) office to coordinate software updates and emergent IT requirements affecting the program office.
  • Assist in coordinating equipment upgrades, software requests, and network problem resolution in accordance with NMCI policies and in conjunction with the CIO office.
  • Provide documentation support, including scanning unclassified documents into searchable formats suitable for long‑term archives.

Requirements

  • Minimum of 5 years of professional experience in operations and administrative support.
  • Experience with the Defense Travel System (DTS).
  • Strong communication skills, well‑organized, and able to multitask.
  • Experience communicating with senior‑level government personnel.
  • Location: Washington Navy Yard.
  • U.S. citizenship with the ability to obtain a government‑issued CAC and possess a Secret clearance.

  • Ability to perform repetitive motions with the hands, wrists, and fingers.
  • Ability to engage in and follow audible communications in emergency situations.
  • Ability to sit for prolonged periods at a desk and work on a computer.

Compensation

The projected annual compensation range for this position is $85,000.00 to $105,000.00 (USD). Compensation is market‑based and reflects factors such as education, knowledge, skills, experience, contract affordability, organizational requirements, and location.
